Type of job: Fully Remote
Start Date: ASAP
The final offer is at the client’s discretion and will depend on the candidate’s interview result, skills, and experience.
About The Role
The Item Data Integrity Specialist maintains the accuracy, consistency, and completeness of product information across the client's item management and point-of-sale (POS) systems. Operating as a critical partner to the Regional Buying Team, you will ensure that item records, retail pricing, product sizing, vendor info, and purchasing data are precisely maintained across all store locations.
This fully remote position requires high self-motivation, exceptional organization, and clear communication. You will work independently to resolve data discrepancies, manage competing deadlines, and collaborate seamlessly with vendors, buyers, and store personnel.
Key Responsibilities
Item Data Management & Maintenance
Create, update, and maintain item records in company POS and item management systems (descriptions, UPCs, brand, category, department, pack quantities, and ordering units).
Identify and eliminate duplicate, incomplete, outdated, or inaccurate item entries to maintain data consistency across all stores.
Process new item setups, product replacements, discontinuations, and category reassignment requests.
Retail Pricing & Cost Maintenance
Enter and maintain retail prices, wholesale costs, vendor cost adjustments, and promotional pricing within established deadlines.
Review margins and flag discrepancies between costs, retail prices, and target gross margins.
Verify that pricing updates execute accurately in systems and communicate unusual cost increases to Regional Buyers.
Vendor Communication & Coordination
Request and verify updated price lists, product specs, UPCs, and case pack configurations from vendors, brokers, and distributors.
Follow up on missing product details and resolve discrepancies between vendor invoices, POs, and system records.
Maintain organized digital records of all vendor pricing communications and updates.
Regional Buying Team & Store Support
Provide remote administrative support to Regional Buyers across categories (preparing spreadsheets, item lists, and pricing reports).
Assist with seasonal merchandising programs, category resets, and promotional setups.
Respond to store inquiries regarding item records, scanning/UPC errors, and pricing issues.
Data Auditing & Quality Control
Conduct regular weekly and monthly audits of item records, costs, retail prices, and pack quantities.
Investigate and resolve item discrepancies reported by store teams, buyers, or accounting.
Maintain logs of data corrections and recommend procedural improvements to uphold data security and accuracy standards.
Qualifications & Skills
Experience: High school diploma required (degree in business/accounting preferred); prior experience in purchasing administration, grocery retail, inventory management, or data entry.
Excel Skills: Strong proficiency in Microsoft Excel (sorting, filtering, formulas; VLOOKUP/XLOOKUP and pivot tables preferred).
System Aptitude: Ability to navigate POS, inventory management, and purchasing databases quickly.
Core Competencies: Extreme attention to detail, strong problem-solving ability, self-motivated, organized, and capable of managing recurring deadlines with minimal supervision.
Communication & Setup: Clear written/spoken English; reliable high-speed internet connection, secure home office setup, and strict adherence to data security policies.
Schedule: Fully available during assigned working hours with required overlap with US Pacific Time (PT) business hours.
Nice to Have
Experience in a multi-store grocery or natural foods retail environment.
