YOUR MISSION:
The Workplace & Facilities Trainee (m/w/d) will directly support the Workplace & Facilities Project Manager in key operational and strategic initiatives. A primary focus of this role will be supporting the assessment, deployment, and adoption of an Integrated Facility Management (IFM) project and ServiceNow ticketing tool across network Boutiques, alongside supporting tender management, insurance processes, and general team administration.
KEY RESPONSIBILITIES:
1. Project Support & ServiceNow Deployment (IFM)
Assessment & Data Collection: Assist in gathering baseline information and requirements from network Boutiques for the IFM project assessment phase.
Liaison & Change Management: Act as a communication bridge between the Boutiques and the ServiceNow technical team to ensure smooth rollout and deployment.
User Adoption: Support Boutique teams in adopting the ServiceNow platform through basic guidance, onboarding assistance, and answering operational queries.
Ticketing & Reporting: Monitor reports from the ticketing tool to track issue resolution, service levels, and operational trends.
2. Contract & Tender Management Support
IFM Tender Process: Collect, organize, and consolidate essential data required for IFM tender documents.
Offer Analysis: Assist in preparing tender packages and analyzing incoming vendor offers/bids.
Contract Monitoring: Maintain and update tracking/alert tools to monitor critical contract deadlines, key deliverables, and upcoming renewals.
3. Insurance & Incident Management
Location Coverage: Coordinate insurance coverage requests and administrative requirements for new store/location openings.
Incident Administration: Process insurance requests, compile documentation for claims/incidents, and liaise with relevant internal or external stakeholders.
4. General Administration & Project Management
Reporting & Documentation: Support the Project Manager with preparing management presentations, status reports, and analytical documents.
Budget Tracking Support: Assist in gathering data for budget monitoring, expense tracking, and financial reviews.
Operational Tasks: Provide ad-hoc administrative support for ongoing workplace and facilities projects.
YOUR PROFILE:
Education: Currently pursuing or recently completed a Bachelor’s or Master’s degree in Business Administration, Facility Management, Real Estate, Project Management, or a related field.
Skills:
Strong interest in Facility Management, digital tooling (e.g., ServiceNow), and project coordination.
Good analytical capabilities with attention to detail (experience with data collection and offer analysis).
Excellent organizational and time-management skills.
Strong interpersonal and communication skills to engage effectively with Boutique teams and vendor partners.
Tools: Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word). Familiarity with ticketing platforms (e.g., ServiceNow) is an asset.
Languages: Professional working proficiency in German and English.
