Sourcing & Tendering Executive (GeM)
Xynex Global Private Limited | New Delhi Employment type: Full-time, on-site Experience required: 2+ years in sourcing and 2+ years in GeM / e-tender participation
About Xynex Global
Xynex Global Private Limited is a New Delhi-based trading company supplying goods to government departments and public sector undertakings through the Government e-Marketplace (GeM). We are part of a group with a multi-year record of bidding for and executing government supply orders. We operate our own in-house tender-intelligence platform covering live bid discovery, supplier and historical price data, and costing, so that our team's time goes into supplier negotiation and commercial judgement rather than administrative work.
About the Role
We do not manufacture and we do not hold stock. Every bid we submit is priced on a source of supply that has already been identified and negotiated to its lowest achievable rate. Establishing that source and that rate, before the bid is submitted, is the core responsibility of this role. The commercial outcome of each bid rests directly on the accuracy of the cost you establish.
Twelve months into the role, you will have built a dependable supplier base across our active categories, and the prices we bid will be the prices we can actually buy at.
Key Responsibilities
Identify the most competitive source of supply for every requirement we intend to bid — manufacturers, authorised channel partners and wholesale markets — and negotiate the rate to its floor before the bid is submitted
Issue RFQs to multiple suppliers, negotiate commercial terms, and evaluate quotations on a landed-cost basis inclusive of freight, packing and installation where applicable
Study each tender's own documentation — technical specifications, Additional Terms and Conditions, and Bill of Quantities — to confirm precisely what is to be supplied, so that the cost established is for the correct product
Provide a firm, documented cost basis for pricing, and state clearly when a reliable cost cannot be established and the opportunity should be declined
Develop and maintain the supplier database — rates, contacts and performance history — so that repeat requirements in a category are costed faster
Prepare and submit bids on the GeM portal end to end, including the compliance set (EMD/ePBG, Make in India declarations, MSE documentation, Manufacturer Authorisation and BIS certification where applicable)
Support reverse auctions against a cost floor established in advance of the auction
Following award, place the purchase order with the selected supplier, monitor dispatch and delivery to the consignee, and complete PRC/CRAC formalities
Required Experience and Skills
Minimum 2 years in sourcing, purchase or vendor development, and minimum 2 years in GeM or e-tender participation. Both may have been gained in the same role
Demonstrated experience issuing RFQs to multiple suppliers and comparing quotations on a landed-cost basis
Ability to establish a firm, lowest-available quotation within a tender's submission window, and to stand behind that figure
Independent experience reading ATC and BoQ documentation and submitting bids on the GeM portal
Fluency in Hindi and English for supplier negotiation
Working proficiency in Excel — comparative statements, cost sheets and standard formulas
Clear and prompt written communication over email and messaging
Preferred
Experience participating in a reverse auction
Familiarity with GST and e-invoicing, e-way bills, or freight negotiation
Category experience in electrical, instrumentation, IT hardware, laboratory, or office and industrial supplies
What This Role Demands
The timeline is the principal challenge. Between a requirement being published and its closing date, you are expected to identify the right source, negotiate the rate to its floor, and satisfy yourself that it will hold when the order is placed. Margins in this business are narrow and there is no opportunity to revise a price after submission. Performance in this role is assessed on whether the costs you establish prove accurate, not on the number of tenders processed.
