About the role

Description supplied by the original job listing.

Thanks for your interest in Success Academy! Running a large, fast-growing, and high-performing network of public charter schools takes a village - families, children, teachers, staff and faculty, advocates, and supporters alike. We are growing fast in New York and expanding to Florida, and we would love to welcome you to our community! We work tirelessly every day to ensure children have access to a fun, rigorous, whole-child education regardless of zip code or economic status. When you join SA, you play a part in giving every student who walks through our doors a fair shot at reaching his or her potential.
About the Role
Reporting to the Workplace Experience Manager, the Network Office Coordinator is the first point of contact at Success Academy’s Network Office. You create a welcoming, professional environment for staff and guests and handle daily reception, visitor check-in, mail, supplies, room reservations, and meeting logistics.
The Workplace Experience Manager sets office standards, manages budgets and vendor performance, and leads facilities projects. You carry out approved procedures, coordinate assigned work, and flag issues requiring the manager’s attention. The right person is warm, reliable, attentive to detail, and anticipates needs before being asked.
Key Responsibilities
Reception and Customer Service
Deliver warm, polished, and responsive service to staff and guests.
Staff the front desk, answer and route calls, check in guests, notify hosts, and receive and distribute mail and packages with accuracy and care.
Arrange front desk relief with the Workplace Experience Manager before breaks, walkthroughs, restocking, event support, or other duties away from reception.
Anticipate the office and meeting needs of leaders and executives, confirming arrangements and resolving potential issues in advance.
Follow office and visitor access procedures with tact and discretion. Protect confidential visitor and employee information, direct access or security concerns to Security, and follow approved emergency procedures. Respond to routine requests promptly and follow through to resolution.
Building Partnerships and Cross-Functional Coordination
Build productive working relationships with building management, porters, facilities staff, vendors, and the Help Desk under the direction of the Workplace Experience Manager.
Communicate service needs clearly, submit and monitor maintenance requests, and confirm completion. Escalate urgent conditions, overdue work, and recurring problems to the Workplace Experience Manager.
Partner with internal departments to address shared operational needs.
Keep staff and the Workplace Experience Manager informed of service changes, assigned project progress, and issues affecting the office experience.
Inventory Management and Office Standards
Monitor supply, snack, and beverage inventory, maintain organized backstock, and place replenishment orders within approved spending limits before shortages occur. Check deliveries and invoices against approved orders, flag discrepancies, and route invoices for approval.
Restock snacks and beverages on every floor twice daily, and keep kitchens, copy rooms, and conference rooms consistently supplied.
Complete two daily walkthroughs, document findings, and coordinate timely resolution of cleanliness, maintenance, and presentation issues.
Track usage patterns and recommend adjustments that reduce waste, improve availability, and support responsible spending.
Room Reservations and Meeting Logistics
Manage room reservations, confirm meeting requirements, and resolve scheduling conflicts through timely communication.
Prepare meeting spaces with the right layout, furniture, supplies, and requested services.
Coordinate with technology support and building partners to meet meeting requirements and troubleshoot readiness issues.
Support event setup and room resets with porters and office services staff, including table and chair counts, furniture arrangements, and post-event follow-through.
Service Records and Improvement
Maintain accurate records for inventory, room reservations, service requests, and assigned projects. Track usage and employee feedback to identify recurring needs.
Maintain clear procedures and checklists, and recommend practical improvements to the Workplace Experience Manager that reduce waste and improve service.
Support manager-led office improvements by coordinating assigned logistics, tracking deadlines and approved spending, providing brief status updates, and escalating decisions requiring approval.
Qualifications and Competencies
2–3+ years of professional experience in corporate office operations, workplace services, administration, hospitality, or a related field, with increasing responsibility.
Strong customer service skills and a polished, professional presence in a corporate environment.
Demonstrated discretion and independent judgment, with the ability to prioritize competing needs and recognize when to escalate.
Excellent attention to detail, organization, and follow-through, including accurate records, reliable handoffs, and completed service requests.
Excellent verbal and written communication skills, and the ability to build effective relationships across teams and with external partners.
Proficiency with office productivity software, calendars, spreadsheets, and operational tracking tools, and comfort learning new systems.
Ability to work both independently and collaboratively in a fast-paced environment.
Relevant education or training is welcome; a bachelor’s degree is not required. Practical reception, office support, or hospitality experience is the priority.
Ability to lift and move event furniture and remain on your feet for portions of the day.
Commitment to Success Academy’s mission.
Work Expectations
Work onsite at the Network Office five days per week during reception hours set by the Workplace Experience Manager, with occasional early or late event coverage. Coordinate schedule changes and reception relief with the manager in advance.
