About the role
Description supplied by the original job listing.
We are seeking a proactive, clinical Medical Receptionist & Insurance Specialist to support our client's fast-paced Orthopedics, Pain Medicine, and PM&R practice. The ideal candidate has strong clinical nursing experience and a proven track record in high-volume phone engagement, recent eClinicalWorks (eCW) navigation, and thorough insurance verification, consistently converting inquiries into scheduled appointments with warmth and accuracy.
Patient Engagement & High-Volume Calls
Manage high-volume inbound and outbound telephone calls, including prompt callbacks for missed calls and new inquiries.
Re-engage inactive patients and follow up on no-shows to keep treatment plans on track.
Drive appointment conversion by building immediate rapport, addressing patient hesitation, and answering benefit questions to secure scheduled visits.
Maintain complete and meticulous documentation of every patient interaction in the EHR.
Insurance Verification & Benefits Review
Perform full-scope insurance verifications—evaluating active/inactive coverage, effective dates, copays, coinsurance, deductibles (met vs. remaining), and out-of-pocket maximums.
Differentiate between HMO, PPO, Commercial, Medicare, Workers' Compensation, and PIP policies to determine accurate patient financial responsibility.
Identify and coordinate referral and prior authorization requirements before patient visits.
Ensure in-network vs. out-of-network benefits and policy limitations are clearly verified.
Scheduling & Operations
Manage and optimize complex physician calendars using eClinicalWorks (eCW).
Confirm, schedule, and reschedule patient visits while maintaining organized follow-up queues.
Support external outreach by liaising with referring physician offices, attorneys, and medical-legal contacts to support practice volume growth.
Requirements
Medical VA Experience: 2+ years of virtual assistant support for a U.S.-based medical practice (handling phone workflows, scheduling, verification, and remote physician collaboration).
Software Proficiency: Recent, hands-on experience using eClinicalWorks (eCW). (Note: Outdated experience with eCW will not be considered).
Insurance Expertise: Deep operational knowledge of insurance mechanics beyond basic data entry (HMO/PPO, deductibles, prior auths, commercial payers, Medicare).
Communication & Presence: Exceptional English language skills with a cheerful, upbeat, and professional phone demeanor capable of building quick rapport.
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 8am-5pm EST.
