Key Responsibilities
1. Shift Briefing & Handover
Review Logs: Analyse
the previous shift's front-of-house logbook, outstanding VIP guest requests,
pending sales leads, and active property management system (PMS) or CRM alerts.

Event Preparation: Check daily banquet event orders (BEOs), high-profile corporate
bookings, occupancy forecasts, and scheduled VIP/celebrity arrivals requiring
dedicated media coordination or personalized welcome arrangements.
·
Resource Allocation: Assign specific corporate site inspections, inbound wedding/event
inquiries, media interview coverage, or guest feedback resolutions to duty
sales and communications coordinators.
2. Inventory, Collateral & Tool Assessment
·
Tool Accountability: Set up, inspect, and verify access to property management systems
(Opera), media monitoring tools, CRM platforms, digital signage systems, and
official hotel social media accounts.
·
Stock Verification: Inspect critical sales and marketing inventory, including luxury
digital brochures, physical press kits, VIP welcome letterheads, high-end
promotional giveaways, and current banquet menus.
·
Resource Conservation: Monitor distribution lines for luxury collateral, digital ad spend
quotas, and complementary amenity vouchers; verify that inventory consumption
follows strict hospitality cost-control guidelines.
3. Sales & Communication Pipeline Operations

Precision Monitoring: Execute daily sales outreach and PR campaigns efficiently, adhering
strictly to 5-star brand standards, corporate luxury messaging guidelines, and
luxury hospitality script protocols.
·
Technical Logging: Log hourly corporate inquiry response times, group booking conversion
rates, media mention metrics, website direct booking engagement levels, and
social media analytics parameters.
·
Team Coordination: Coordinate actively with the Front Office, Food & Beverage, and
Executive Chef via guest-service radio channels to time-match site inspections
and VIP arrivals during peak check-in hours.
4. Brand Quality Assurance & Hospitality Compliance
·
Work Quality: Ensure all outbound emails, press releases, and digital assets are
flawlessly written, structurally sound, legally compliant, and perfectly
aligned with global 5-star luxury brand guidelines.
·
Safety Protocols: Maintain strict compliance with international data privacy laws (such
as GDPR for global travelers), secure payment processing protocols (PCI-DSS),
and guest confidentiality codes.
·
Hazard Avoidance: Discretely monitor hotel public forums, OTA reviews
(TripAdvisor/Booking.com), and social tags; instantly coordinate responses to
negative feedback or crises to prevent luxury brand reputation damage.
5. Secure Closing & Digital Reset
·
Secure Channels: Lock and secure all administrative guest databases, financial sales
contract folders, social media dashboards, and master marketing asset storage
to restrict unauthorized access.
·
Final Walk-through: Verify that automated event email workflows, holiday auto-responses,
and digital lobby display switches are correctly set and that data export logs
are completely clear.
·
Station Reset: Deep-clean and organize the sales office and guest-facing preview
lounges, archiving processed contracts and ensuring guest inquiry backlogs are
fully cleared before shift end.
