About the Role
We are looking for a well-organised, proactive and discreet HR & Office Admin Executive to run HR administration for La Royale Group and its portfolio company, and to manage the day-to-day running of our Singapore office.
This is a broad and hands-on role; you will own the full cycle of HR administration; from recruitment through to onboarding, payroll, leave, benefits administration and offboarding, while keeping the office running smoothly for everyone in it. This role requires accuracy, good judgement and a high degree of confidentiality.
Key Responsibilities
People & HR Administration
Manage end-to-end HR administration for La Royale Group and its portfolio company, keeping processes and records maintained.
Prepare employment contracts, offer letters, confirmation letters and other HR documentation, as needed.
Run employee onboarding and offboarding administration, including documentation, system set-up, exit procedures and final settlements.
Maintain accurate and confidential employee records, personnel files and HR databases.
Maintain HR policies and the employee handbook up to date and act as the first point of contact for employee HR queries.
Support employee engagement activities, company events and other people initiatives.
Assist the Management with other HR matters as required.
Payroll & Benefits
Prepare and process monthly payroll accurately and on time, including CPF contributions and other statutory deductions.
Track payroll inputs such as new joiners, leavers, salary changes, bonuses, claims and unpaid leave.
Liaise with the finance team and payroll providers, as needed.
Handle year-end tax reporting, including IR8A and related submissions to IRAS.
Administer employee benefits and group insurance, including enrolments, changes, renewals and claims with providers.
Recruitment
Coordinate recruitment, including posting job advertisements, screening applications and scheduling interviews.
Prepare and submit work pass applications, renewals and cancellations (Employment Pass, S Pass, Dependant's Pass and others) with the Ministry of Manpower.
Track pass expiry dates and other employment compliance deadlines.
Keep up to date with Singapore employment legislation and MOM requirements, and flag changes that affect the Group.
Office Management & Administration
Manage the day-to-day operation of the Singapore office and ensure it runs efficiently.
Manage office facilities, equipment, access and maintenance, along with supplies, couriers, deliveries, procurement and relationships with suppliers and service providers.
Coordinate visitors, internal meetings, team lunches and company events.
Arrange onboarding and offboarding logistics, including equipment, access and workplace arrangements.
Manage the office budget, track spending against it, and keep accurate records of all office and administrative expenses, including invoices, receipts and supplier payments, working with the finance team to ensure costs are properly documented and reconciled.
Handle ad hoc administrative projects, as required.
About You
Minimum of 5 years’ experience in HR and office administration roles.
Degree in Human Resource Management, Business Administration or a related field.
IHRP certification (IHRP-CA or IHRP-CP) is preferred.
Comfortable working in a small, entrepreneurial and international organisation where responsibilities are broad.
Hands-on experience processing payroll in Singapore, including CPF, IR8A and related statutory requirements.
Working knowledge of the Employment Act and experience with MOM work pass applications.
Experience with office management or general administration is a strong advantage.
Exceptionally organised, with strong attention to detail and accuracy.
Able to manage multiple priorities and identify what needs to be done without waiting for instruction.
Strong written and verbal communication skills.
High level of discretion and sound judgement when handling confidential employee and business information.
Proficient in Excel, Word and general technology, with experience using HR or payroll software.
Comfortable handling both HR matters and practical day-to-day office tasks.
What We're Looking For
Above all, we are looking for someone who takes ownership. This is not a narrowly defined HR role. In a lean setup, we need someone who sees what needs to happen, takes responsibility for it and follows it through to completion. You should enjoy creating order, getting the details right and being someone the whole team can rely on.
