You are an insanely organized, detail-oriented project management professional with a proven track record of owning multiple concurrent corporate events from handoff to post-event. Your core drive is delivering flawless activations on time, on budget, and on-brand; you take radical end-to-end ownership without dropped balls, ensuring every run-of-show lands perfectly so the client’s point of contact looks like a hero and attendees leave delighted.
You bring calm executive reassurance, high dependability, and polished communication to every interaction. You thrive on structure and process, operate independently, execute a proven playbook while actively seeking ways to improve it, and use a structured, framework-driven approach to decision-making.
You possess aggressive follow-up and uncompromising deadline discipline, expertly managing hard milestones, vendor logistics, and budget constraints without being chased. You are confident leading client calls of 1–6 participants, adept at managing complex hotel and convention center logistics, and skilled at keeping enterprise client POCs feeling calm, protected, and completely supported.
⚙️ WHAT YOU’LL BE DOING
This is a 100% remote, full-time contractor individual contributor role reporting to the Director of Event Operations.
End-to-End Concurrent Event Delivery (Outcome #1): Own multiple corporate events simultaneously from post-sales handoff to final post-event debrief. Ensure 100% on-time, on-budget, and on-brand delivery with zero critical execution or last-mile logistics failures across hotel and convention center activations.
Run-of-Show & Logistics Coordination: Direct all vendor logistics, equipment delivery, technical staging schedules, and run-of-show execution. Maintain aggressive follow-up and deadline discipline with external partners, enforcing venue milestones and operational budgets with zero dropped balls.
Client & POC Experience Mastery (Outcome #2): Serve as the primary, reassuring client-facing operational lead on calls of 1–6 participants. Keep corporate event planners calm and protected throughout planning, driving outstanding post-event satisfaction (CSAT/NPS) and making your POC look like a hero to their executive stakeholders.
Post-Handoff Upsell Expansion (Outcome #3): Identify natural expansion opportunities during the event-planning phase—introducing relevant enhancements, additional interactive stations, or scope expansions to move upsell revenue while elevating the attendee experience.
Branded Visual Deliverables: Design and produce clean, on-brand event collateral, run-of-show visual guides, and client-ready signage in Canva with speed and polish.
🧠 WHAT WE’RE LOOKING FOR
Must-have:
8+ years of progressive project management experience, specifically within corporate events, conferences, hotels, or experiential marketing
Hands-on corporate event planning experience with hotels or convention centers
Proven experience managing events for agency or in-house event planners
Strong client-services background, confident and composed leading client calls of 1–6 participants
Excellent English communication skills (written and verbal) with fluent, easily understood spoken English for executive client video calls
Comfortable producing clean, on-brand visual collateral and client-ready signage in Canva
Tech-savvy self-starter with proven ability to drive concurrent projects autonomously without dropped balls
Nice-to-have:
Familiarity with modern collaboration stacks and AI tools (Asana, Notion, Google Workspace)
Prior experience managing events within lean, fast-paced SMB or experiential agency environments

Compensation: Base Salary: $1,750 – $2,500 USD/month depending on experience and proven track record.

🛠️ WHAT YOU’LL NEED
Availability: Full-time dedication from 9:00 AM to 5:00 PM Central (CST), Monday through Friday.
