This is a first level of management role. Join JLL as a Facilities Coordinator and keep our client's workplace running smoothly, safely, and efficiently. In this dynamic position, you'll be the go-to person for day-to-day facilities operations across two offices, while also contributing to exciting real estate projects and process improvements. You'll work alongside a collaborative team, building strong relationships with vendors, landlords, and internal stakeholders. What You'll Do
Conduct regular building walkthroughs to identify maintenance needs, coordinate minor repairs, and ensure the premises are always in excellent working condition
Manage facility tickets end-to-end, including issue reporting, follow-up, and dispatching to the right teams or vendors
Act as the primary point of contact for on-site contractors, vendors, and landlord communications, including contract negotiations
Provide administrative and operational support to the Regional Facilities Manager, while overseeing office processes across two locations
Coordinate internal office moves, furniture arrangements, and reception-related activities to ensure seamless workplace operations
Lead and support real estate projects — from planning and cost estimation to vendor sourcing, implementation oversight, and final acceptance
Partner with IT, Security (GPS), Finance, and Meeting & Events teams to deliver integrated workplace solutions
Coordinate Health & Safety procedures and travel arrangements, ensuring compliance and a positive employee experience
What We're Looking For
A proactive, hands-on mindset with a genuine willingness to support colleagues and pitch in wherever needed
Strong customer service orientation and a professional, friendly, and welcoming attitude
Excellent organisational skills with the ability to prioritise effectively in a fast-paced, varied environment
Confident communicator, both written and verbal, with strong attention to detail
Familiarity with Facilities Management processes (preferred) and comfort working in a high-profile corporate environment
Comfortable working with everyday office tools such as Outlook, Excel, and Word
Initiative and a problem-solving mindset — someone who spots opportunities and acts on them
Proficiency in English and fluency in Russian
