We're looking for an enthusiastic and detail-oriented Event Coordinator to join our growing team.
Key Responsibilities
Event Planning & Coordination
Assist in planning, organizing and executing corporate events, brand activations, exhibitions and mall installations.
Prepare event timelines, checklists, schedules and execution plans.
Coordinate with internal teams to ensure smooth project delivery.
Support multiple projects simultaneously while meeting deadlines.
Vendor & Production Management
Coordinate with fabricators, printers, decorators, technical teams and other event vendors.
Source vendors, collect quotations and assist in cost comparisons.
Track production progress, material readiness and delivery schedules.
Follow up with vendors to ensure timely completion of assigned work.
On-Ground Event Execution
Oversee venue preparations, setup, installation and dismantling activities.
Coordinate manpower, logistics, equipment and transportation.
Ensure event setups are completed according to approved designs and timelines.
Identify and resolve operational challenges during execution.
Support event-day operations and ensure smooth coordination between all stakeholders.
Client Communication & Documentation
Assist with client meetings, project briefings and regular status updates.
Maintain project documentation, vendor records and expense trackers.
Prepare progress reports, meeting notes and post-event reports.
Ensure client requirements and feedback are communicated accurately to the execution team.
Required Skills & Qualifications
1–2 years of experience in event management, event production, experiential marketing or a related field.
Bachelor's degree in Event Management, Business Administration, Hospitality, Mass Communication or a related discipline preferred.
Strong communication, organizational and multitasking abilities.
Experience coordinating vendors and managing on-ground event activities.
Basic proficiency in MS Excel, PowerPoint and Google Workspace.
Good problem-solving skills and attention to detail.
Ability to work independently and as part of a team.
Willingness to travel locally and work flexible hours, including weekends, when required for events.
