Position Overview
XXP Company is seeking an experienced, highly organized, and proactive Event Staffing & Recruitment Coordinator to support our nationwide staffing operations.
This remote position combines talent acquisition, employee scheduling, workforce coordination, and day-to-day field staff support.
Reporting directly to the Head of Talent Acquisition, the coordinator will help recruit qualified talent, manage staff schedules through workforce management software, communicate with field personnel, and ensure staffing assignments are filled, confirmed, and properly coordinated.
The ideal candidate is a strong communicator, highly detail-oriented, comfortable using technology, and capable of managing multiple staffing requests in a fast-paced environment.
Key Responsibilities
Recruitment & Talent Acquisition
Source, recruit, screen, and interview Brand Ambassadors, event staff, promotional talent, event producers, and tour personnel nationwide.
Publish and manage job postings across recruiting platforms.
Maintain recruiting pipelines and candidate databases across multiple markets.
Coordinate onboarding documentation and verify completion of required hiring processes.
Support urgent and high-volume staffing requests.
Staff Scheduling & Workforce Management
Create, update, and manage staff schedules using company workforce management software.
Assign qualified personnel to events, retail activations, and client programs.
Confirm staff availability, assignments, locations, and shift details.
Monitor scheduling changes, cancellations, replacements, and staffing coverage.
Maintain accurate staff rosters, schedules, and assignment records.
Ensure field personnel receive necessary event information before their scheduled shifts.
Field Staff Coordination & Support
Serve as a point of contact for field personnel regarding schedules, assignments, and general operational questions.
Follow up with staff to confirm attendance, availability, and assignment readiness.
Assist with resolving scheduling conflicts, late arrivals, cancellations, and no-shows.
Coordinate replacement personnel when needed.
Escalate performance concerns and operational issues to appropriate management.
Support field leadership with staffing-related communication and coordination.
Administrative & Communication Support
Monitor and respond to recruiting and staffing-related emails.
Follow up with applicants, candidates, and assigned personnel.
Maintain organized staffing records, communication logs, and recruiting trackers.
Assist with staff onboarding, documentation, and internal administrative processes.
Prepare staffing updates and recruitment progress reports.
Collaborate with the Head of Talent Acquisition to ensure deadlines and staffing requirements are met.
Required Qualifications
Minimum 2 years of professional experience in recruiting, staffing coordination, workforce management, or talent acquisition.
Experience scheduling and coordinating staff across multiple locations or markets.
Proven ability to manage multiple staffing assignments and deadlines simultaneously.
Experience using workforce scheduling software, applicant tracking systems, or staffing management platforms.
Strong recruiting, interviewing, and candidate screening skills.
Excellent written and verbal communication skills.
Strong organizational skills, attention to detail, and problem-solving abilities.
Experience managing email correspondence and following up with staff and applicants.
Proficiency with Google Workspace, spreadsheets, and remote collaboration tools.
Ability to work independently while maintaining consistent communication with management.
Preferred Qualifications
Experience working with event staffing agencies, promotional marketing companies, or event production firms.
Experience recruiting and scheduling Brand Ambassadors, promotional staff, and event personnel.
Familiarity with Connecteam, Deputy, When I Work, or similar workforce management software.
Experience supporting nationwide or multi-market staffing programs.
Ability to coordinate urgent staffing replacements and last-minute schedule changes.
Compensation & Work Arrangement
Hourly Rate: $17.00-20.00 per hour.
Work Location: Fully remote within the United States.
Schedule: Flexible, based on active client programs and staffing needs.
Hours: May vary depending on recruiting activity and event schedules.
Engagement: Contract, subject to applicable worker-classification requirements.
