Position Overview
We're looking for an experienced, law firm operations executive or manager to work directly with our firm's leadership to build out our new practice area and systematize the firm as we grow. You'll design and implement workflows, write SOPs, lead our staff, and introduce AI and automation.
This is a part-time (20 hours per week), fully virtual position for a law firm operations leader who's comfortable building things from the ground up and who's already using AI to work smarter.
Key Responsibilities
New Practice Area Buildout
Partner with leadership to launch and scale a new practice area: defining the services offered, mapping workflows from intake to close, and identifying the staffing and technology needed.
Build the operational foundation before launch, including intake processes, matter templates, checklists, and SOPs.
Coordinate with marketing and intake to make sure the new practice area has a steady pipeline of qualified clients, not just a finished process.
AI and Automation
Identify where AI and automation can save time across the firm, then evaluate, implement, and train staff on the right tools, including law-specific AI platforms.
Build AI workflows with human review built in, and help develop firm policies for responsible AI use, client consent, and confidentiality.
Automate repetitive work such as client intake, document generation, billing, follow-ups, and reminders.
Systematize Firm Operations
Analyze current workflows, identify bottlenecks, and implement streamlined, scalable processes.
Develop and maintain written Standard Operating Procedures for recurring tasks, and train team members to write and update SOPs for the workflows they own.
Make our case management system the single source of truth for matter information.
Team Leadership and Hiring
Recruit, onboard, and train new staff, including writing job descriptions and building structured hiring processes.
Manage staff day to day through task management, regular check-ins, and clear accountability.
Set up KPIs for each role and department using reports our existing tools already provide.
Technology and Business Development
Evaluate and implement legal technology, including case management, CRM, and workflow tools.
Support leadership on related business initiatives as the firm expands
