At Toters, we are on a mission to be the heartbeat of local economies, driving growth by connecting people with anything they need, fast. We believe in turning big ideas into real-world impact, empowering local businesses and making everyday life easier for our customers.
We are looking for an HR Officer to support the day-to-day delivery of HR services for Toters Fresh and Trade warehouse employees.
This role will support recruitment coordination, onboarding and offboarding, employee documentation, workforce system updates, attendance and payroll inputs, and employee queries. It is suited to an organized and proactive HR professional who can manage a high volume of recurring tasks accurately, provide responsive employee support, and ensure that established processes are followed across warehouse locations.
Key Responsibilities
Recruitment & Staffing Coordination
Coordinate recruitment activities for warehouse roles, including candidate screening, interview scheduling, candidate communication, recruitment events, and maintenance of hiring trackers.
Follow up with hiring managers and candidates to keep recruitment steps moving and help ensure selected candidates are ready to join on the agreed date.
Support referral and other approved recruitment initiatives and maintain accurate records of candidate progress and recruitment outcomes.
Onboarding, Offboarding & Employee Documentation
Collect and check required onboarding documents, coordinate joining formalities, and ensure employee records and system setup are completed in line with established procedures.
Follow up on missing documents and NSSF-related information with employees and relevant stakeholders, escalating delays or gaps that could affect compliance or payroll.
Coordinate offboarding documentation, employee status updates, and transfers between warehouse branches, ensuring records are updated accurately and on time.
HR Systems, Attendance & Payroll Inputs
Maintain accurate employee data in the applicable HR and workforce management systems, including Upthyme for warehouse workforce administration.
Collect, verify, and coordinate attendance, overtime, leave, time deviations, and other payroll-related inputs with warehouse managers before submission deadlines.
Flag data errors, system discrepancies, missing approvals, and unusual timekeeping records, and follow through with the relevant teams until resolved.
Employee Support & HR Administration
Respond to routine employee questions and direct complex or sensitive matters to the appropriate HRBP or senior HR colleague.
Support the administration of probation reviews, employee communications, performance documentation, and approved recognition or engagement initiatives.
Maintain orderly and confidential employee files and ensure employee transactions are processed only with the required approvals and supporting documents.
Reporting & Process Follow-up
Update trackers relating to recruitment, onboarding, offboarding, employee documents, attendance exceptions, and other routine HR activities.
Prepare accurate periodic reports and summaries, highlighting outstanding actions, recurring errors, and items requiring manager follow-up.
Follow approved SOPs and checklists, meet recurring deadlines, and suggest practical improvements where a process is unclear or inefficient.
What We're Looking For
1 to 3 years of experience in HR, HR operations, recruitment coordination, or a related administrative role.
Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
Experience in a high-volume or operational environment is an advantage.
Basic understanding of employee lifecycle processes, employee documentation, attendance, and payroll inputs.
Comfortable using HRIS or workforce management systems; experience with Excel and data tracking is important.
Awareness of Lebanese employment documentation and NSSF processes, or willingness to learn these quickly.
Strong attention to detail, organization, and follow-through, with the ability to handle recurring deadlines.
Clear communication skills, a service-oriented approach, discretion, and the ability to work effectively with employees and operational managers.
What Sets This Role Apart
Direct exposure to the employee experience across a large and growing warehouse network.
An opportunity to develop broad HR operations skills, from recruitment and onboarding to employee support and workforce data.
