About the Role
We are looking for a proactive and detailed HR Operations Associate to manage day-to-day HR workflows for our college and oversee the transition to a modern HR Tech / HRMS platform. This role balances routine HR administrative tasks (onboarding, attendance, compliance) with a key focus on digitizing, automating, and upgrading our core technology and records systems.
Key Responsibilities
1. HR Operations & Administration
Employee Lifecycle: Manage end-to-end employee onboarding, offboarding, and documentation for faculty and non-teaching staff.
Attendance & Leave: Track daily attendance, leave requests, and leave balances across campus departments.
Records & Compliance: Maintain digital and physical employee files, ensuring data accuracy and compliance with institutional policies.
Payroll Support: Assist the finance team with monthly attendance inputs, leave deductions, and payroll queries.
Helpdesk & Support: Serve as the primary contact for staff queries regarding HR policies, leave systems, and benefits.
2. HR Tech Upgrade & Systems Management
HRMS Implementation: Assist in selecting, configuring, and migrating employee data to a new Cloud HRMS platform (e.g., Darwinbox, Keka, GreytHR, or similar).
Process Automation: Identify repetitive manual tasks (e.g., leave approvals, onboarding forms) and digitize them within the new system.
Data Cleansing: Standardize existing staff records, perform data audits, and eliminate duplicate or outdated employee files.
Training & Adoption: Create basic user guides and conduct short training sessions to help faculty and staff adopt the new HR software.
Requirements
Education: Bachelor’s degree in Human Resources, Business Administration, Information Technology, or a related field.
Experience: 0 to 1 year in HR Operations, HR Support, or HR Tech roles.
Tech Proficiency: Hands-on experience or familiarity with HRMS software, Google Workspace, and advanced Excel (VLOOKUP, Pivot Tables).
Communication: Clear written and verbal communication skills to interact with faculty, leadership, and external software vendors.
Problem Solving: Aptitude for organizing unstructured processes and learning new software quickly.
