Assistant Manager - Ecommerce Operations (B2B)

Role Summary
The Assistant Manager / Sr. Associate – Business Operations, Ecommerce (B2B) will be responsible for managing and executing end-to-end ecommerce business operations for key B2B/ecommerce partners. The role involves close coordination with external partners, internal stakeholders, warehouse teams, distributors, and other cross-functional teams to ensure smooth order processing, timely deliveries, efficient returns management, accurate reporting, and effective vendor portal operations.
Key Responsibilities
1. End-to-End Order Management
Manage the complete order lifecycle, from stock offering and order confirmation to purchase order processing, system entry, distributor coordination, and final delivery.
Ensure timely and accurate processing of partner purchase orders and coordinate with relevant internal and external stakeholders for order fulfilment.
Monitor order status and proactively identify and resolve operational issues or delays.
2. Partner and Stakeholder Coordination
Act as a key point of contact for assigned ecommerce and B2B partners for day-to-day operational requirements.
Coordinate regularly with internal teams, distributors, warehouse teams, logistics partners, and external stakeholders to ensure seamless execution of business operations.
Maintain effective communication with partners and ensure timely resolution of operational queries and concerns.
3. Vendor Portal Operations
Manage and execute day-to-day activities across partner/vendor portals.
Ensure timely updates, order processing, document uploads, and adherence to partner-specific operational requirements.
Monitor portal-related activities and resolve discrepancies in coordination with relevant stakeholders.
4. Slot Planning and Delivery Coordination
Plan and schedule delivery slots in coordination with ecommerce partners, warehouse teams, and logistics stakeholders.
Ensure all required supporting documents and information are shared accurately and within the required timelines.
Monitor slot adherence and support timely execution of deliveries.
5. Returns Management
Manage the end-to-end returns process for assigned partners.
Ensure timely creation and processing of Return to Vendor (RTV) documents in the internal system.
Coordinate with relevant internal teams and partners to ensure accurate documentation and timely closure of return transactions.
Maintain proper records and trackers for all returns-related activities.
6. Reporting and Business Tracking
Prepare and maintain regular operational reports and trackers, including:
Order Tracker
Returns Tracker
Sales Tracker
Partner-wise operational reports
Ensure data accuracy, timely updates, and effective tracking of key operational activities.
Support the team with analysis and reporting requirements as required.
7. ERP and System Operations
Learn and effectively manage relevant activities on GARPAC, ERP system.
Ensure accurate and timely system transactions and documentation.
Develop a strong understanding of internal systems and processes to support efficient ecommerce operations.
8. Process Improvement
Identify operational gaps, process inefficiencies, and recurring issues.
Work with relevant stakeholders to improve processes, enhance operational efficiency, and strengthen controls.
Support the implementation of standardized processes and best practices across assigned ecommerce partners.
Candidate Profile
Educational Qualification
Postgraduate degree in Business Administration, Commerce, Supply Chain, Operations, or a related discipline preferred. Graduates with relevant experience and skills may also be considered.
Experience
Minimum 4–5 years of relevant experience in Ecommerce Operations, B2B Operations, Order Management, Supply Chain Operations, or a similar business operations role.
Experience in managing ecommerce marketplaces, key accounts, vendor portals, order fulfilment, or partner operations will be preferred.
Required Skills and Competencies
Strong understanding of end-to-end ecommerce and business operations.
Proficiency in Microsoft Excel and PowerPoint.
Ability to prepare and maintain operational reports, trackers, and MIS.
Strong analytical skills and attention to detail.
Excellent verbal and written communication skills.
Ability to coordinate effectively with multiple internal and external stakeholders.
Good understanding of order management, delivery coordination, returns, and vendor/partner portal operations.
Ability to manage multiple priorities and work effectively in a fast-paced environment.
Strong problem-solving and follow-up skills.
Willingness and ability to learn and operate internal ERP systems, including GARPAC.
High level of ownership, accountability, and process orientation.
