Position Summary
As a Project Coordinator within the PMO, you will provide organized, reliable support for U.S. healthcare programs spanning operations, technology, compliance, and client delivery. Working in partnership with Project Managers, Senior Project Managers, and cross-functional teams, you will help maintain project plans and documentation, coordinate meetings and schedules, track commitments, and keep stakeholders informed of progress, risks, and next steps.
This role is ideal for a detail-oriented professional who communicates clearly, follows through consistently, and brings structure to fast-moving work. Success requires sound judgment, strong organization, a willingness to learn, and the ability to appropriately escalate issues within a regulated healthcare environment.
Key ResponsibilitiesProject Delivery and Coordination
Support project execution from initiation through transition and closeout under the guidance of a Project Manager or Senior Project Manager.
Maintain project schedules, milestone trackers, action-item logs, and task assignments; follow up with owners to support timely completion.
Coordinate project meetings, working sessions, implementation activities, and cross-functional dependencies across Operations, Technology, Product, Quality, Client Services, and other teams.
Monitor due dates, deliverables, and resource commitments, and promptly surface delays, conflicts, or missing information.
Assist with project kickoff, implementation readiness, operational transition, and project closeout activities.
Project Controls and Documentation
Create, update, and organize project plans, RAID logs (Risks, Assumptions, Issues, and Dependencies), decision logs, status reports, meeting minutes, and governance artifacts in accordance with PMO standards.
Capture clear meeting notes, decisions, owners, and due dates; distribute minutes and follow-up items promptly.
Maintain accurate and current project files, templates, trackers, and shared repositories so teams have reliable access to project information.
Support project health reporting, KPI tracking, dashboards, portfolio updates, and data validation by gathering and consolidating accurate project information.
Assist Project Managers with scope, schedule, resource, and change-control documentation, including impact tracking and approval records.
Stakeholder Support and Communication
Maintain positive, professional working relationships with project team members, business partners, and client stakeholders.
Provide timely, clear, and organized updates on assignments, open actions, upcoming milestones, and project documentation needs.
Coordinate meeting logistics, agendas, materials, attendance, and post-meeting follow-through.
Respond to stakeholder requests promptly and route questions, decisions, and escalations to the appropriate project leader.
Support the preparation of client-facing and leadership-ready presentations, status reports, and project summaries.
Risk, Issue, and Compliance Support
Track project risks, issues, assumptions, and dependencies; ensure each item has a clear owner, target date, and current status.
Recognize potential delivery concerns and escalate them promptly with relevant facts, impact, and requested support.
Support adherence to PMO methodologies, project governance requirements, and applicable healthcare and client standards.
Handle project information responsibly and follow HIPAA, confidentiality, security, and records-management requirements applicable to assigned work.
Team Contribution and Continuous Improvement
Demonstrate accountability, reliability, professionalism, organization, and teamwork in daily interactions and assigned work.
Seek and apply coaching and feedback, build project management knowledge, and share useful practices with the PMO team.
Identify opportunities to improve templates, trackers, documentation quality, meeting effectiveness, and project coordination processes.
Contribute to PMO improvement initiatives, lessons learned, and a culture of collaboration and delivery excellence.
Required Qualifications
Bachelor's degree or equivalent professional experience.
Two or more years of experience in project coordination, project administration, implementation support, operations, or a related role.
Strong organizational skills with the ability to manage multiple priorities, deadlines, meetings, and documentation requirements.
Demonstrated attention to detail and ability to produce accurate, complete, and timely project records.
Clear written and verbal communication skills, including professional email, meeting notes, status updates, and presentations.
Ability to work effectively with cross-functional teams, follow through on commitments, and escalate concerns appropriately.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, and the ability to learn project management and collaboration tools.
Ability to exercise discretion and handle confidential business and healthcare-related information appropriately.
Preferred Qualifications
Experience supporting U.S. healthcare, life sciences, patient support, payer, provider, PBM, specialty pharmacy, care management, or other regulated programs.
Familiarity with HIPAA-compliant environments and healthcare implementation or operational readiness activities.
Working knowledge of Waterfall, Agile, or Hybrid project management methods.
Experience with Microsoft Project, Smartsheet, Jira, Monday.com, SharePoint, Teams, or similar project and collaboration platforms.
CAPM certification or active progress toward a recognized project management credential.
