Location: Romania
Reports to: Global Leadership Development
Travel: Regular, across Europe and internationally
Compensation: RON 12,000 – 14,000, per month
The Role
You will be the person supporting an executive whose entire job is people: leaders and partners across many countries who need to feel heard, appreciated, and remembered. Your job is to make that possible at scale.
You are the first person in this seat. There is no handover document, no existing CRM, no travel policy. You will build all of it in your first 90 days and then run it.
That means two things. First, you keep the executive organised and informed: who they are meeting, what was promised last time, what matters to this person right now. Second, you are often the first person our partners meet, and you leave them better off than they expected — quicker, warmer, more prepared than anyone in a similar role they have dealt with before.
If you have worked in hotels, events, or client-facing coordination and want to bring that standard to a role with real scope and real people, this is that job.
Someone who rebooks the 6am flight before the executive wakes up, then plans the dinner that makes forty leaders feel like the only guest.
What You'll Own
Much of this job is unglamorous and repetitive: booking and rebooking flights, hotels, and transfers; keeping the calendar clean across time zones; chasing follow-ups until they close. If that bores you, the rest of the role won't compensate.
Travel — book and troubleshoot international trips end to end. When a flight cancels at 6am, you already have the alternative.
Calendar — build and protect a fast-moving schedule across time zones. You see conflicts before anyone else does.
Briefing and follow-up — before every meeting, call, or trip, the executive knows exactly who they are seeing, what was said last time, and what needs to happen. After, you capture the follow-ups and drive them to done.
Relationship operations — build and maintain a living record of the people we work with across each European market: their history with us, open commitments, milestones, preferences. Nobody gets forgotten and no promise goes unkept.
Keeping the executive current — a daily rhythm of what changed, what is at risk, and what needs a decision. You decide what deserves attention and you do not let things surface late.
Events and experiences — plan and execute leader meetings, dinners, and events from concept to teardown, with the details that make guests feel personally considered. This executive loves to create experience-based events that leave guests feeling recognised and appreciated.
Appreciation — the note, the gift, the small gesture that lands at the right moment. Expertly and thoughtfully prepared to leave an impression to those the executive meets with. You make people feel seen, and you make it look effortless.
Contracts and vendors — manage venue and vendor agreements from first draft to signature.
Who You Are
Hospitality-minded. You notice what people need before they ask, and you enjoy getting it right.
Someone people remember. Warm, poised, and quick. Partners hang up the phone thinking, "that was easy."
Relentlessly organised. You have run a calendar or client book for someone else and can describe your system without notes.
Two steps ahead. You have rebooked a cancelled trip before the traveller knew it was cancelled — or you have a comparable story.
You finish things. Half the job is closing loops that no one will thank you for. You close them anyway.
Self-starting. You have built or fixed a process that nobody asked you to. You can say what was broken, what you did, and what happened.
A clear communicator. Direct and proactive, comfortable with senior leaders, vendors, and guests alike. You know the difference between what someone asked for and what they need.
Show integrity, enthusiasm, humility, and a real desire to contribute..
Have the potential to become one of the strongest people on the team—not simply someone capable of filling an immediate opening.
Flexible with working hours. There is flexibility in how you structure your day, but when the executive is traveling and reaches out, you are ready to put whatever it is aside and provide a solution.
Ready for the road. Comfortable travelling internationally as the calendar requires.
1–3 years of experience in executive support, hospitality, events, or client-facing coordination. No advanced degree required.
Fluent in English; other European languages are a plus.
