The job in one paragraph
You're the producer's right hand. Internally we call this seat Associate Producer. The producer owns the client relationship and the creative. You own the machine that gets the work done on time: boards, folders, schedules, call sheets, crew and partner coordination, asset chasing, close-out data. You'll have a dozen projects moving at once and you'll know where every one of them stands.
This is not a creative role. If you want to direct, shoot, or edit, this isn't the seat. If you like building systems that hold under volume, being the person who catches what everyone else missed, and watching a project board go green, keep reading.
Client contact
Yes, directly. You'll be on kickoffs, send call sheets and schedules, and chase assets and approvals. Clients will know your name. Creative calls, scope changes, and budget conversations go to the producer - one voice on decisions, always.
What you'll own
Setup
Build and maintain project boards in Monday.com; keep capacity estimates current
Create project folders in Google Drive, Suite, and Frame.io; manage partner access
Turn handoff forms into working docs for producers
Stand up Slack channels to our project standard
Pre-production
Attend kickoffs, take notes, understand what the project actually needs
Build shot lists, call sheets, and schedules with the producer
Post casting calls and run first-pass talent selection

Run partner search and outreach: follow-ups, interview scheduling, full onboarding
Close-out
Collect every asset, capture every data point the KPI report needs
Run client NPS collection and track collection rate on every project
The rules you'll work by
Every task has an owner and a due date. Boards updated daily. No stale fields.
Every client message gets a response within 1 business day.
Scope changes get flagged to the producer within 24 hours. Nothing gets absorbed silently.
No milestone slips without a heads-up to the producer before the deadline.
No editor or crew handoff without a complete brief, specs, and timeline.
Escalation runs AP > Producer > Director of Ops. No skipping.
AI tools are expected for recaps, briefs, and status drafts. You review and own every output before it goes anywhere.
How you're measured
Milestone hit rate ≥90% - your pieces land on schedule (primary)
Hours-to-scope ≤100% - actual vs. scoped hours on your tasks
Data hygiene ≥95% - boards and trackers complete, accurate, current
Numbers are visible to the whole team. If that reads as clarity, you'll fit. If it reads as pressure, you won't.
Requirements
3+ years in video production coordination or production project management
Have personally coordinated 5+ video projects at the same time
Have built call sheets, shot lists, or production schedules for real shoots
Daily use of Monday.com, Asana, or ClickUp as a system of record for 12+ months
Fluent professional English, written and spoken. Every interview is in English.
Based in Mexico with full overlap of US Pacific business hours (9-5 PT)
Use AI tools (Claude, ChatGPT, or similar) in your current workflow, not just occasionally
Work independently and remotely without anyone checking on you

Organized to the point that disorder bothers you. Brings solutions, not just flags. Easy to work with. Honest about your own numbers and timelines, especially when they're bad.
Where this goes
Associate Producer → Producer → Senior Producer. Our strongest APs take on their own smaller projects and grow into producer seats. We promote before we hire.
