The Role
We are seeking an organized and detail-oriented Distribution Assistant / Specialist to support daily distribution operations, order coordination, shipment planning, inventory movement, delivery scheduling, documentation, tracking, and service performance.
The ideal candidate will coordinate distribution activities from order release through final delivery, maintain accurate operational records, communicate with warehouses and transportation providers, resolve distribution exceptions, and support continuous improvement across the distribution process.
Key Responsibilities
Support daily distribution planning, scheduling, coordination, and execution activities.
Coordinate distribution requirements with Warehousing, Transportation, Inventory, Sales, Customer Service, Procurement, Finance, and other internal teams.
Coordinate the movement of products, materials, equipment, and other items from distribution centers to designated destinations.
Review distribution orders and confirm quantities, delivery requirements, destinations, priorities, and requested delivery dates.
Coordinate order release, picking, packing, staging, loading, dispatch, and delivery activities.
Prepare and maintain distribution schedules, shipment plans, delivery calendars, and operational trackers.
Coordinate with warehouse teams to ensure orders are prepared and staged according to scheduled dispatch times.
Coordinate with drivers, carriers, freight providers, couriers, and third-party logistics providers.
Monitor shipment status from dispatch through final delivery.
Track shipments, vehicles, deliveries, and distribution orders using approved systems.
Monitor GPS, transportation-management, warehouse-management, ERP, and shipment-tracking systems where applicable.
Communicate with transportation providers regarding pickup times, delivery appointments, route changes, delays, and special requirements.
Monitor on-time dispatch, transit, delivery, and order completion performance.
Follow up on delayed, incomplete, rejected, damaged, or failed deliveries.
Escalate distribution exceptions and service issues to the appropriate stakeholders.
Coordinate urgent, priority, same-day, and time-sensitive distribution requirements.
Support distribution requirements during peak periods, seasonal demand, promotions, product launches, and special projects.
Coordinate with Inventory teams to confirm product availability before shipment release.
Monitor inventory allocated to customer orders, transfers, replenishment requirements, and distribution activities.
Support stock-transfer activities between warehouses, distribution centers, stores, branches, and other locations.
Reconcile shipment quantities against orders, picking records, loading documentation, and delivery confirmations.
Investigate quantity discrepancies, shortages, overages, damaged goods, and missing shipments.
Maintain accurate records of shipments, deliveries, transfers, returns, and distribution transactions.
Prepare delivery notes, packing lists, manifests, transfer documents, shipping labels, and other required documentation.
Collect and maintain proof-of-delivery records, signatures, timestamps, photographs, and supporting documents where applicable.
Verify distribution documentation for accuracy, completeness, and compliance with company requirements.
Coordinate customer delivery appointments and communicate changes or delays to relevant stakeholders.
Support customer-service teams with shipment status, estimated delivery times, order exceptions, and delivery documentation.
Maintain accurate customer, destination, route, carrier, and delivery information in approved systems.
Monitor carrier and logistics-provider performance against agreed service levels.
Track carrier response times, delivery accuracy, reliability, claims, and service exceptions.
Support supplier and carrier performance reviews and corrective-action activities.
Assist with distribution cost tracking, freight-cost analysis, and transportation expense monitoring.
Review freight and logistics invoices against shipment records, contracted rates, and supporting documentation.
Identify and resolve discrepancies between distribution services performed and supplier invoices.
Monitor freight costs, delivery charges, accessorial fees, handling charges, and other applicable distribution expenses.
Support route planning and shipment consolidation to improve distribution efficiency and control costs.
Identify opportunities to reduce unnecessary transportation, handling, storage, and delivery costs.
Coordinate with warehouse teams to improve loading sequences, staging processes, dock utilization, and dispatch readiness.
Support inventory accuracy by reconciling physical movements with system transactions.
Monitor distribution-related inventory adjustments, transfers, returns, and discrepancies.
Coordinate product returns, rejected deliveries, reverse logistics, and redistribution activities.
Ensure returned products are properly documented, tracked, and transferred to the appropriate warehouse or processing location.
Support product traceability requirements, including batch, lot, serial-number, expiry, or other identification requirements where applicable.
Coordinate special handling requirements for fragile, temperature-sensitive, high-value, regulated, or otherwise restricted products.
Ensure distribution activities follow applicable handling, storage, transportation, safety, and compliance requirements.
Support distribution audits and maintain documentation required for internal, customer, supplier, or regulatory reviews.
Investigate delivery incidents, product damage, loss, service failures, and recurring distribution issues.
Support root-cause analysis and corrective actions for distribution problems.
Maintain distribution dashboards, trackers, reports, and operational databases.
Prepare daily, weekly, and monthly distribution performance reports.
Track distribution KPIs including order fulfillment, dispatch accuracy, delivery performance, inventory discrepancies, freight cost, and service exceptions.
Identify recurring distribution bottlenecks and recommend practical improvements.
Support process standardization, SOP development, workflow improvements, and operational training.
Identify opportunities to improve distribution processes through automation, digital tracking, data analytics, and system integration.
Maintain clear operational handovers and communicate outstanding distribution issues to relevant teams.
Perform other distribution, logistics, and supply-chain coordination responsibilities as required.

Ideal Candidate
