Job Overview
We are seeking a motivated and organized Staffing Specialist to support candidate sourcing, screening, placement coordination, and staffing operations. This role will work with candidates and internal teams to help identify qualified talent and coordinate staffing needs efficiently.
The ideal candidate has strong communication skills, good attention to detail, and the ability to manage multiple candidates and assignments at the same time. Previous experience in recruiting, staffing, customer service, sales, or administration is a plus but not required.
Key Responsibilities
Source and identify qualified candidates through online platforms and recruiting channels.
Review resumes and applications based on position requirements.
Conduct initial candidate outreach and screening.
Communicate position information, requirements, and next steps to candidates.
Maintain an organized pipeline of active and prospective candidates.
Coordinate interviews, candidate meetings, and placement activities.
Match candidates with appropriate staffing opportunities based on qualifications and availability.
Follow up with candidates throughout the recruitment and placement process.
Maintain accurate candidate records in applicant tracking and staffing systems.
Assist with preparing and posting position advertisements.
Coordinate with hiring managers and internal staffing teams regarding staffing requirements.
Track candidate status, placements, schedules, and assignment details.
Assist with onboarding and required employment documentation.
Respond to candidate questions and provide timely updates.
Help maintain strong relationships with candidates and clients.
Prepare basic staffing reports and activity summaries.
Monitor staffing needs and assist with identifying potential candidate shortages.
Maintain confidentiality of candidate and company information.
Qualifications
High school diploma or equivalent required; bachelor's degree preferred.
Previous staffing, recruiting, HR, customer service, sales, or administrative experience is a plus.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Comfortable communicating with candidates through phone, email, and digital platforms.
Strong attention to detail and follow-through.
Ability to manage multiple candidates and priorities.
Comfortable using computers and standard office applications.
Ability to work independently and collaborate with internal teams.
Professional and candidate-focused approach.
Must be legally authorized to work in the United States.
Preferred Qualifications
Familiarity with Applicant Tracking Systems (ATS) or staffing software.
Experience with LinkedIn or other professional sourcing platforms.
Basic understanding of recruiting and staffing processes.
Familiarity with Microsoft Office or Google Workspace.
Experience coordinating interviews and onboarding activities.
Previous experience working in a remote staffing or recruiting environment.
