About the Role
We are looking for a Medical Scheduling Coordinator to support a U.S.-based healthcare practice. The ideal candidate will have excellent communication and call-handling skills, strong attention to detail, and experience working with patients and healthcare systems.
Key Responsibilities
Handle high-volume incoming patient calls and route inquiries appropriately.
Schedule, reschedule, and cancel appointments based on provider availability and scheduling protocols.
Manage provider calendars, appointment slots, waitlists, and recalls.
Collect and update patient demographic, insurance, and intake information.
Collect copays, balances, and other patient payments when required.
Provide appointment confirmations, reminders, and preparation instructions.
Document patient interactions and scheduling updates accurately in the EHR.
Identify and escalate urgent patient concerns or issues to the appropriate team.
Maintain HIPAA compliance and protect patient information at all times.
Support daily administrative and scheduling workflows as needed.
Requirements
Must be located in the GAM (accepted counties listed ahead), Costa Rica, with a reliable work-from-home setup (power backup/stable ISP required).
Able to work full time: Monday–Friday | US Business Hours- Non-negotiable
2+ years of experience in medical billing and accounts receivable within a US healthcare environment.
Previous experience in medical scheduling, patient coordination, or healthcare customer service.
Excellent verbal and written communication skills.
Strong phone and call-handling abilities.
Familiarity with EHR and scheduling systems.
Experience with payment collection is preferred.
Strong organization, multitasking, and problem-solving skills.
Understanding of HIPAA and patient confidentiality.
Willingness to learn new systems and processes.
