A newly launched boutique family office firm is seeking an experienced candidate with strong financial management and client service capabilities to join its growing team. The Senior Family Office Associate will serve as a key financial and operational leader, working closely with the Firm’s Founder/CEO and COO, as well as the family office Principals to build and oversee the financial infrastructure, reporting, planning, and day-to-day operations required to effectively serve family offices.
The Firm is focused primarily on providing investment oversight, complemented by robust financial reporting, budgeting, and planning support for family office Principals. This individual will play an integral role in developing the infrastructure required to deliver these services at a high level. Responsibilities will include onboarding new clients, implementing investment and financial reporting systems, coordinating financial information, and establishing processes that enable accurate, timely, and informed decision-making.
The successful candidate will combine strong financial capabilities with a hands-on, service-oriented approach. They will work proactively with family office Principals and collaborate closely with external tax advisors, banking partners, investment managers, and other service providers to ensure financial information is accurate, well-organized, and translated into clear, actionable insights. Given the Firm’s early stage and growth trajectory, this individual will also have the opportunity to help shape the Firm’s operating model and build scalable processes as the client base expands.
Key Responsibilities
Investment Reporting & Administration
Lead the onboarding and implementation of investment reporting for new family office clients
Aggregate and reconcile investment information across custodians, investment managers, private funds, and other sources
Track investment activity, including capital calls, distributions, commitments, and partnership activityReview investment documentation, including K-1s and PPMs, to identify relevant tax allocations, capital obligations, fee terms, and anticipated cash flows
Support portfolio, performance, and liquidity reporting across public, private, alternative, and cash investments
Maintain accurate and organized investment records, partnership documentation, and supporting data, ensuring timely delivery of information
Oversee and coordinate financial reporting across various family office entities, trusts, partnerships and investment vehicles
Review third-party investment reporting for accuracy and completeness and synthesize relevant information to support investment monitoring and decision-making
Coordinate with external accountants and tax advisors to provide supporting documentation for tax filings and compliance
Establish and maintain appropriate financial controls, procedures, and documentation
Financial Planning, Budgeting & Liquidity
Develop and maintain budgets, cash flow forecasts, and financial plans for family office Principals
Monitor actual financial activity against budgets and forecasts and identify meaningful variances
Support liquidity planning across investment commitments, personal expenditures, taxes, and other anticipated cash needs
Develop financial models and analyses to support planning and financial decision-making
Coordinate with internal stakeholders and external investment managers to identify and communicate relevant tax considerations to Principals
Prepare clear, concise financial reporting and analysis for the Founder and family office Principals
Identify financial trends, risks, and opportunities and proactively surface items requiring attention
Client Onboarding & Family Office Operations
Lead the financial and operational onboarding of new Client Principals, including information gathering, reporting requirements, systems, and workflows
Develop a comprehensive understanding of each client’s entities, investments, advisors, and financial priorities
Establish and maintain client-specific calendars, recurring workflows, reporting schedules, and documentation
Oversee the execution of ongoing financial and administrative activities across multiple clients
Track open items, deadlines, deliverables, and follow-up activities to ensure matters are completed accurately and on time
Maintain a high standard of responsiveness, organization, confidentiality, and client service
Systems, Processes & Infrastructure
Help build and continuously improve the operational infrastructure of the firm
Lead or assist with the selection, implementation, and optimization of investment reporting, financial planning, document management, and workflow systems
Develop standardized, scalable processes, workflows, templates, and reporting packages across family office clients
Identify opportunities to automate or streamline recurring processes while maintaining appropriate controls
Support special projects and evolving client needs as the family office grows
Qualifications & Profile
Bachelor’s degree in Accounting, Finance, Economics, Business, or related field
5-7 years of progressive experience across accounting, financial management, investment operations, family office, wealth management, or related environments
Experience supporting high-net-worth or ultra-high-net-worth individuals, family offices, private investment entities, or closely held organizations strongly preferred
Experience working with investment portfolios and a strong understanding of capital calls, distributions, partnership structures, K-1s, and private investment documentation
Experience coordinating with accountants, tax advisors, investment professionals, banking partners, attorneys, and other external providers
Experience with Addepar or similar investment reporting, portfolio management, or data aggregation platforms strongly preferred
Demonstrated ability to organize and synthesize financial information across multiple entities, accounts, systems, and service providers
Strong Excel skills and demonstrated ability to leverage technology, including AI-enabled tools, to support financial reporting, analysis, and reconciliations
Highly organized and detail-oriented, with the ability to manage multiple clients, priorities, and deadlines simultaneously
Proactive and resourceful, with the ability to operate independently and take ownership of projects from identification through execution
Strong interpersonal and communication skills with a highly service-oriented approach
Exceptional discretion, integrity, judgment, and professionalism
Comfortable operating in a hands-on environment where responsibilities may extend beyond traditional accounting or finance functions
Ability to work independently in a remote environment while maintaining strong communication, responsiveness, and collaboration
Job Type: Full-Time, Remote
Compensation: Annual compensation range of $175,000–$225,000, based on experience and qualifications, with comprehensive benefits
