Role Overview
We are seeking an experienced and highly organized Bookkeeping Manager to build, lead, and scale a high-performing bookkeeping function within a growing Virtual CFO practice. This is not a role where you inherit an established team. The successful candidate will be responsible for building the bookkeeping division from the ground up, establishing operational processes, maintaining service quality, developing team capability, and ensuring that every client receives accurate and timely bookkeeping support.
Key Responsibilities
Bookkeeping Delivery & Compliance
Manage bookkeeping operations across a portfolio of client accounts.
Oversee reconciliations, accounts payable, accounts receivable, payroll support, and BAS/IAS preparation.
Review bookkeeping files and ensure accuracy before submission to clients or compliance teams.
Maintain high-quality bookkeeping standards across all client engagements.
Ensure all deliverables are completed accurately and within agreed timelines.
Monitor financial data integrity and ensure client records remain complete and up to date.
Team Leadership & Development
Recruit, onboard, train, and manage bookkeeping team members.
Build a scalable offshore bookkeeping team capable of supporting business growth.
Provide technical coaching, mentoring, and ongoing development opportunities.
Conduct quality reviews and performance discussions with team members.
Create a culture of accountability, accuracy, collaboration, and continuous improvement.
Develop team capabilities and maintain high service delivery standards.
Process Improvement & Systems Development
Develop Standard Operating Procedures (SOPs), templates, checklists, and quality control frameworks.
Create scalable bookkeeping processes that reduce dependency on individual team members.
Implement quality assurance systems that ensure accuracy and consistency across all client files.
Identify operational bottlenecks and implement corrective improvements.
Drive process automation and technology enhancements to improve productivity and turnaround times.
Support the adoption and optimization of bookkeeping technologies and digital workflows.
Technology & Platform Management
Utilize and optimize bookkeeping systems including Xero and QuickBooks Online.
Drive platform improvements and automation initiatives to improve operational efficiency.
Support technology adoption across the bookkeeping team.
Ensure systems are utilized effectively to maintain service quality and client satisfaction.
Operational Performance & Client Service
Ensure all bookkeeping files are reconciled and finalized within agreed reporting timelines.
Support Virtual CFO and advisory functions through accurate and timely bookkeeping outputs.
Maintain strong working relationships with internal stakeholders and client-facing teams.
Monitor service delivery standards and implement improvements where necessary.
Provide visibility into operational performance, capacity, and workflow management.
Support business growth through scalable and reliable bookkeeping operations.
Candidate Profile
Minimum 5 years of strong technical bookkeeping experience.
Extensive experience with reconciliations, accounts payable, accounts receivable, payroll support, and BAS/IAS preparation.
Experience leading, supervising, or managing remote or offshore bookkeeping teams.
Advanced hands-on experience with Xero and/or QuickBooks Online.
Strong understanding of bookkeeping controls, financial accuracy, and quality assurance practices.
Proven experience reviewing and approving bookkeeping work to ensure high standards.
Ability to build and manage processes, systems, and operating procedures.
Experience within accounting firms, bookkeeping practices, Virtual CFO services, or outsourced finance environments will be highly advantageous.
