This role is core to that mission: it's the person who makes sure that once a customer says yes, everything after that — delivery, compliance, commissioning — happens without a single dropped detail.
Who We're Looking For
This role is the critical link between AnvilGrid's internal teams — Finance, Project Management, Engineering, and Logistics — and our external suppliers. Nothing about an order moves without passing through this person. You'll be the one keeping three moving targets in sync on every single order: the delivery schedule, the contract terms, and what was promised to the customer.
We're looking for someone with 3+ years of experience in supplier management, procurement, operations, or project coordination — ideally from an industry with long lead times and real compliance stakes (industrial manufacturing, mining, oil & gas, energy infrastructure, or similar).
Above all, we're looking for a communicator first. This role sits at the center of a web of suppliers, engineers, logistics teams, finance, and customers — the person who thrives here is the one who can build rapport quickly, track small details without dropping any of them, and pick up the phone the moment something needs a human conversation instead of an email thread.

Role Responsibilities
Post-Award Project & Program Support
Drive internal alignment across Finance and other functional teams for projects at award stage or later.
Serve as the primary operational point of contact for supplier alignment, ensuring suppliers understand and meet AnvilGrid's requirements throughout the order lifecycle.
Order & Invoice Management
Track and manage supplier invoicing in coordination with Finance, ensuring accuracy and alignment with contract terms and payment milestones.
Monitor and track order acknowledgements from suppliers, confirming timely receipt and resolving discrepancies.
Fully utilize internal tools — Notion, Google Drive, and AI-assisted workflows — to follow established processes.
Contract Compliance & Delivery
Ensure ongoing compliance to contractual scope, terms, specifications, and commercial conditions across all active purchase orders.
Monitor delivery performance against customer commitments and proactively flag risks to on-time delivery.
Maintain and update ship outlooks across the order portfolio in Notion dashboards.
Pick up the phone when a customer or vendor conversation needs to happen — proactively, not reactively.
Variance Management & Corrective Action
Identify variances in orders, materials, and schedules relative to contractual and program baselines.
Drive root-cause analysis and lead or support corrective action plans with suppliers and internal stakeholders.
Reporting & Operational Cadence
Prepare and present order status, ship outlooks, variances, and recommendations at the weekly operations meeting.
Provide clear, data-driven updates that enable timely escalation and resolution.

Skills & Experience
Required
3+ years of experience in supplier management, procurement, operations, or project coordination.
Strong understanding of purchase order lifecycle management, contract compliance, and invoicing processes.
Excellent cross-functional communication skills — this is the single most important factor for this role.
Strong analytical skills, with the ability to identify variances, assess risk, and recommend corrective actions.
Proficiency in Microsoft Excel.
Comfortable working with Notion, Slack, and Gmail as core daily tools.
Fluent English, written and spoken.
Strongly Preferred
Background in an industry with long lead times and compliance requirements — industrial manufacturing, mining, oil & gas, or industrial equipment sectors.
Familiarity with international supplier logistics, incoterms, or shipping/customs processes.
Nice to Have
Hands-on experience with ERP/procurement systems (SAP, Oracle, or similar).
Experience within Battery Energy Storage Systems (BESS), renewable energy, or broader energy infrastructure.
Experience supporting or leading recurring operations reviews with senior stakeholders.

Compensation & Employment Type
Type: Remote Independent contractor, Full-time (40 hours/week)
Schedule: Monday–Friday, 8:00 AM – 4:00 PM PST
Central or South America preferred (for time zone alignment)
Compensation: starting at $1,800/month depending on experience
Timeline: Immediate hire, targeting 30–45 days
