BLOOM 5.0 Community Support Coordinator
Short-Term Contract — 10 Weeks
Contract Duration: 10 Weeks
Programme: BLOOM Leadership Mentorship 5.0
Reports to: Community Manager
Oversees: Up to 4 Pod Coordinators
Role Type: Short-Term Contract
About the Role
BLOOM 5.0 is welcoming one of our largest cohorts to date, with women leaders joining us from diverse professional, entrepreneurial, and community leadership backgrounds across Africa.
To support the quality of the participant experience as the programme grows, we are seeking a Community Support Coordinator to work alongside the Community Manager and provide day-to-day coordination across our Pod Coordinator teams.
This person will serve as the operational bridge between the Community Manager and our Pod Coordinators, helping ensure that participants remain informed, connected, supported, and engaged throughout the programme.
This is a hands-on coordination role for someone who is organised, responsive, people-oriented, and able to notice what needs attention before it becomes a problem.
Key Responsibilities
Support the Community Manager
Work closely with the Community Manager to help execute the overall participant experience. This includes:
- Supporting programme communications, reminders, and participant follow-up
- Maintaining visibility on attendance, engagement, and programme participation
- Helping track assignments, forms, and other required submissions
- Flagging emerging concerns or patterns to the Community Manager
- Supporting onboarding, orientation, and other key programme moments
- Helping ensure information reaches participants accurately and on time
- Providing additional operational support during live sessions and programme activities as needed
Coordinate the Pod Coordinators
Serve as the primary day-to-day point of coordination for the programme's Pod Coordinators. This includes:
- Ensuring Pod Coordinators understand weekly priorities and expectations
- Checking that each Pod Coordinator's Pods remain active and supported
- Receiving updates on attendance, engagement, concerns, and participant needs
- Helping Pod Coordinators determine when an issue can be resolved on their own and when it should be escalated
- Following up on agreed actions
- Identifying recurring issues across Pods and bringing them to the Community Manager
- Helping maintain consistency in the participant experience across all Pods
The Coordinator is not expected to micromanage the Pod Coordinators. The role is to provide structure, visibility, and support so they can lead their Pods effectively.
Monitor Participant Engagement
Help the programme team maintain a clear picture of cohort health. This includes:
- Tracking attendance and participation
- Identifying participants who may be beginning to disengage
- Ensuring the appropriate Pod Coordinator follows up where necessary
- Monitoring patterns such as repeated absences, missed commitments, or communication gaps
- Escalating unresolved concerns to the Community Manager
The Coordinator is not responsible for chasing participants repeatedly. BLOOM participants remain responsible for their own engagement and follow-through.
Support Programme Operations
Help keep the moving parts of the 10-week engagement organised. This may include:
- Maintaining participant and engagement trackers
- Coordinating forms, surveys, and feedback
- Supporting Pod administration
- Sharing resources, links, schedules, and programme updates
- Helping troubleshoot basic participant questions
- Supporting the Social Impact Project coordination process
- Assisting with end-of-programme feedback and close-out activities
Who We Are Looking For
The ideal person is:
- Highly organised and dependable
- Responsive and able to follow through without repeated prompting
- Comfortable coordinating people and keeping multiple workstreams moving
- Warm and relational while still able to hold boundaries and expectations
- A clear communicator, particularly in digital and WhatsApp-based environments
- Proactive and able to identify gaps before they become problems
- Comfortable working with women from different professional, cultural, and leadership backgrounds
- Able to handle participant information with discretion and confidentiality
- Calm under pressure and able to distinguish what requires escalation from what can be resolved simply
- Aligned with BLOOM's commitment to developing women who lead with competence, capacity, courage, and impact
Previous programme coordination, community management, project coordination, volunteer management, or cohort-based programme experience would be valuable.
What This Role Is Not
This person is not expected to coach or counsel participants. She is not responsible for motivating adults who repeatedly choose not to engage. She is also not replacing the Community Manager. The Community Manager retains responsibility for the overall BLOOM community strategy and participant experience. The Community Support Coordinator helps ensure that the systems, communication, Pod Coordinator support, and day-to-day follow-through required to deliver that experience are working consistently.
What Success Looks Like
By the end of the contract:
- Pod Coordinators have clear direction and consistent support
- Participant engagement is being tracked accurately
- Disengagement is identified early rather than discovered weeks later
- Questions and concerns are resolved at the appropriate level
- The Community Manager has clear visibility across the cohort without having to personally monitor every Pod
- Communications and programme activities are coordinated efficiently
- Participants experience BLOOM as organised, responsive, connected, and well supported
Above all, this role helps us ensure that as BLOOM grows in quantity, we do not compromise the quality, connection, and accountability that define the experience.
