As a HVAC Bookkeeper and Administrative Support Specialist, you will manage bank reconciliations, build productivity dashboards, and run essential backend reporting for a high-volume trade business. We are seeking someone with proven bookkeeping skills, familiarity with Australian business practices (including GST reporting), and ideally a background in the HVAC or field service industries. Client Overview:
Our client is a residential heating and cooling company based in Adelaide, South Australia. They operate with a team of three field technicians and handle high-volume seasonal demand during peak summer months. The business uses Ascora job management software to coordinate scheduling, quoting, invoicing, and technical support.
Schedule:
Monday - Friday, 0:00 AM/PM - 0:00 AM/PM Australian Central Daylight Time (Adelaide) (00 work hours per week)
Responsibilities:
Complete bank reconciliations consistently to keep financial records accurate and up to date
Run regular reports in Ascora job management software to verify technician compliance and workflow accuracy
Build and maintain performance scoreboards showing job values, time utilization, and key metrics for field staff
Monitor technician activity and flag any discrepancies or areas needing attention
Support invoicing and quoting processes during high-volume periods
Identify opportunities to streamline reporting and administrative workflows
Maintain organized documentation of processes and recurring tasks
Provide reliable backend support during seasonal demand surges
Requirements:
Proven experience with bank reconciliation and bookkeeping tasks
Proficiency with job management or scheduling software (Ascora experience is a strong advantage)
Ability to create dashboards and scorecards from raw data
Strong attention to detail and accuracy in financial record-keeping
Comfortable working independently with minimal supervision
Reliable internet connection and ability to work remotely
Excellent communication skills for coordinating with Australia-based team
Qualifications:
Bonus if you have experience in the HVAC, trades, or field service industries
Familiarity with Australian business practices and GST reporting
Experience building custom reports or dashboards in job management platforms
