Purchase Order Analyst

SUMMARY
At Magnolia, the Purchase Order Analyst is responsible for purchase order placement, accurate order tracking, and effective communication between vendors, product managers, and internal stakeholders. This position ensures purchase order details align with revenue goals, target inventory levels, and efficient deliveries to distribution centers to best meet marketplace demand. This position works from Magnolia Headquarters in Waco, Texas. It reports to the Marketplace Operations Manager and has no supervisory responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Uphold Magnolia’s manifesto and values
Write and maintain purchase orders to ensure accuracy and compliance with company policies, target inventory levels, seasonal product requirements, and distribution requirements.
Update purchase order arrival dates to reflect current vendor timelines and logistics updates.
Communicate delivery performance to stakeholders, highlighting risks, delays, or opportunities for improvement.
Collaborate with product managers and distribution centers to align orders with product requirements and inventory needs.
Manage the purchase order change approval process, ensuring timely and accurate documentation of modifications and report on compliance issues.
Monitor vendor chargeback opportunities and resolve discrepancies with vendors, compliance analyst, and finance teams.
Prevent future delays by performing root cause analysis on lateness and implementing corrective actions.
Utilize strong communication skills and maintain a professional relationship with other areas of the company as well as suppliers, vendors, and logistics companies
Perform other duties as assigned
QUALIFICATIONS
Hard skills: Proficiency in Microsoft Office Suite, Structured Query Language (SQL), relational databases, and ERP systems required.
Soft skills: Strong verbal communication, mathematical, and analytical skills; strong problem-solving skills, attention to detail, and passion for efficiency preferred.
Education: High school diploma or GED equivalent required. Bachelor’s degree in Business, Supply Chain, or related field preferred.
Experience: 2+ years of related work experience in procurement, supply chain, or purchasing operations preferred OR an equivalent combination of education and experience required
General availability: Must be available to work occasional weekends as business needs require
