Program Specialist, Regulatory Oversight Coordination

Overview:
As a Program Specialist, you will support the organization’s Regulatory Oversight functions through a variety of program coordination, administrative, and operational assignments. You will play an important role in planning, implementing, and reporting on programs while ensuring established deadlines and quality standards are met. The successful candidate will work autonomously, exercise sound independent judgment, anticipate needs, take initiative, and consistently deliver high-quality work. This individual must also be adaptable, detail-oriented, and comfortable managing multiple priorities in a dynamic environment.
What you'll do:
Own Committee, Governance & Meeting Operations
Serve as the primary coordinator for committees, subcommittees, working groups, and task forces, ensuring meetings are planned, organized, and executed seamlessly.
Develop and distribute agendas, meeting materials, background packages, minutes, and supporting documentation.
Attend meetings and technical conferences, capture key discussions, document action items, track follow-up activities, and provide status updates to leadership.
Coordinate meeting logistics including scheduling, registration, presentations, catering, conference support, and stakeholder communications.
Publish meeting materials and records to internal and external platforms while ensuring accuracy and completeness.
Support Executive Leadership & Regulatory Programs
Partner closely with senior leadership to coordinate administrative, operational, and program-related activities.
Independently manage complex executive calendars, resolve scheduling conflicts, coordinate travel arrangements, and support time-sensitive priorities.
Monitor commitments, deliverables, deadlines, and action items to ensure program objectives remain on track.
Anticipate needs, identify potential issues, and proactively support leadership in a fast-paced environment.
Drive Communications & Documentation Excellence
Draft, edit, proofread, and quality-review meeting materials, reports, executive communications, announcements, newsletters, bulletins, and departmental updates.
Maintain highly organized records, documentation, and confidential information.
Ensure all communications and deliverables meet organizational standards for quality, accuracy, and professionalism.
Required Experience
7+ years supporting senior executives, executive leadership teams, or governance/compliance organizations.
Experience supporting committees, boards, governance groups, working groups, task forces, or executive committees.
Ownership of meeting operations from agenda development through meeting execution, minutes, action-item tracking, stakeholder communications, and follow-up.
Experience supporting compliance, regulatory, governance, risk, audit, legal operations, or corporate secretary functions.
Advanced executive calendar management, scheduling, travel coordination, and operational support experience.
Exceptional written communication, editing, proofreading, documentation, and organizational skills.
Advanced Microsoft Office and SharePoint experience.
Prior experience in the Utilities, Energy, Power, Electric Transmission, or Grid Operations industry.
