Bilingual Virtual Medical Admin Receptionist - Personal Injury & Marketing OR

Pure Balance Chiropractic is seeking a highly motivated Bilingual English/Spanish Virtual Medical Administrative Assistant to support a busy chiropractic practice specializing in Chiropractic Care, Personal Injury, and DOT Examinations.
This role combines medical reception, patient communication, Personal Injury/insurance support, and marketing/business development. The ideal candidate is confident on the phone, highly organized, comfortable making outbound calls, and able to communicate professionally with patients, attorneys, law offices, insurance companies, and adjusters.
The primary goal is to ensure that new-patient opportunities are captured, scheduled, followed up on, and moved through the appropriate process while providing excellent patient service.
Top 3 Responsibilities
1. Phone & Patient Support – Main Focus
Handle high-volume inbound and outbound calls.
Provide phone coverage during regular business hours, including later-hour and weekend coverage.
Respond promptly to new patient inquiries and referral opportunities.
Schedule new patients and ensure appointments are properly documented.
Follow up on missed calls, inquiries, and prospective patients.
Collect patient demographics and referral information.
Prioritize and promptly schedule new Personal Injury referrals.
Communicate professionally with patients in both English and Spanish.
Provide friendly, confident, and professional customer service.
Understand patient needs and guide inquiries toward a scheduled appointment.
Maintain consistent follow-up with prospective patients until an outcome is reached.
2. Insurance & Personal Injury Support
Assist with administrative tasks related to Personal Injury, insurance, and Workers' Compensation cases, including:
Insurance verification.
Personal Injury patient coordination.
Workers' Compensation support.
MedPay navigation and follow-up.
Communicating with insurance companies and adjusters.
Communicating with attorneys and law offices.
Collecting and maintaining attorney and insurance information.
Handling medical record requests.
Following up on outstanding insurance or Personal Injury-related items.
Understanding common Personal Injury and medical terminology.
Supporting attorney lien-based treatment workflows.
Maintaining HIPAA compliance and patient confidentiality.
The ability to communicate confidently with patients, attorneys, law offices, insurance representatives, and adjusters is important.
3. Marketing & Business Development
Support the practice's growth, particularly its DOT examination business, through proactive lead generation and follow-up.
Conduct outbound calls to prospective patients and leads.
Follow up with individuals who have expressed interest but have not scheduled.
Help convert inquiries into scheduled appointments.
Support outreach and business-development activities.
Maintain organized lead-tracking and follow-up.
Re-engage prospective patients who have not yet scheduled.
Identify potential referral and business-development opportunities.
Consistently follow up until each lead has a clear outcome.
Help increase appointment volume through proactive communication and lead conversion.
This position requires someone who is comfortable with outbound communication and business development, not someone who only wants to answer incoming calls.
Requirements
Required Qualifications
Bilingual English/Spanish – Required
At least 2 years of experience supporting a U.S.-based medical practice.
Strong inbound and outbound phone experience.
Excellent verbal and written English communication skills.
Strong Spanish communication skills.
Experience with medical appointment scheduling.
Excellent patient/customer service skills.
Comfortable making outbound calls and following up with leads.
Strong organizational skills and attention to detail.
Excellent follow-through and task ownership.
Understanding of HIPAA and patient confidentiality.
Professional and confident phone presence.

ChiroTouch experience is a strong plus but not required. Candidates with strong Personal Injury, insurance, communication, scheduling, and lead-handling experience will still be considered.
Benefits
Full-Time | 40 hours per week | Remote
The schedule includes:
3 weekdays: 10:00 AM–7:00 PM EST
Weekends: Required
5 days per week total
The hourly rate will be determined based on the candidate’s experience, background, and level of expertise.
