Position Summary
King Rose Services is seeking an Estimating Associate to support our New York-based client with RFP and proposal coordination activities.
The position will work closely with the estimating team to review incoming RFPs, organize project information, assist with proposal preparation, maintain project records, coordinate follow-ups, and communicate professionally with clients and project contacts.
Key Responsibilities
Review incoming RFPs, drawings, specifications, and supporting documents and identify missing information.
Set up and maintain accurate project information in the client’s systems and project folders.
Assist with preparing and coordinating proposal drafts using approved templates and client-specific requirements.
Track RFP status, proposal deadlines, outstanding information, and follow-up activities.
Communicate with clients and project contacts through email and telephone to obtain required information and address basic RFP-related questions.
Answer client calls professionally, understand the purpose of the call, provide appropriate information within the scope of the role, document the discussion accurately, and escalate technical, pricing, contractual, or other specialized questions to the appropriate estimator or manager.
Coordinate proposal reviews, revisions, PDF preparation, and submission.
Maintain complete, accurate, and organized project documentation throughout the RFP and proposal process.
Follow up on submitted proposals and update project status and related records as instructed.
Work closely with estimators and management to ensure RFPs and proposals are processed accurately and within required timelines.
Qualifications
1–3 years of experience in estimating support, proposal coordination, construction administration, project coordination, or a related field.
Strong written and verbal English communication skills.
Professional telephone etiquette and confidence communicating with U.S.-based clients.
Strong attention to detail, organization, and follow-through.
Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
Ability to manage multiple assignments, deadlines, and follow-ups simultaneously.
Ability to work effectively with a U.S.-based client and internal team members.
Training
Comprehensive training will be provided on the client’s software, portals, RFP workflow, proposal process, documentation standards, and applicable SOPs. The candidate will be expected to learn the processes thoroughly and follow established procedures accurately.
Location: Arekere, Bengaluru
Shift Timing: 4:30 PM – 1:00 AM
Work Model: 5 days Work From Office (Saturday & Sunday off)
