Position Overview
We are seeking a versatile and proactive HR & Operations Executive to join our team. In this hybrid role, you will support both human resource management and day-to-day organizational operations across our research, engineering and carbon project workflows. You will work closely with leadership to streamline internal processes, assist in talent acquisition across technical and field domains and maintain operational efficiency as VGEI scales its climate tech initiatives.
Key Responsibilities
Human Resources & Talent Acquisition
Recruitment & Sourcing: Assist in drafting job specs, coordinating job postings, screening talent across domain functions (e.g., forestry research, GIS, digital MRV development and sustainability operations) and scheduling interviews.
Onboarding & People Experience: Coordinate seamless onboarding for core staff, consultants and research fellows, ensuring access to toolkits, project documentation and policy handbooks.
HR Records & Confidentiality: Maintain up-to-date personnel records, NDA tracking, consultant contracts and compliance documents with strict confidentiality.
Culture & Engagement: Support internal team alignment, professional development sessions and culture-building initiatives in a fast-evolving sustainability startup.
Business Operations & Institutional Coordination
Partner & Project Support: Help organize documentation, meeting minutes and operational workflows supporting partnerships with academic centres, research institutions, bio incubators and corporate ESG stakeholders.
Process Documentation: Assist in writing and standardizing internal Operating Procedures (SOPs) for administrative logistics, field operations support and platform reporting workflows.
Vendor & Supply Chain Logistics: Support procurement, equipment/software provisioning, vendor management and administrative logistics across office and field projects.
Operational Reporting: Assist in tracking project timelines, compiling internal milestone updates and maintaining operational dashboards for executive leadership.
Qualifications & Requirements
Education: Currently pursuing or recently completed a degree in Business Administration, Human Resource Management, Commerce, Environmental Management or a related discipline.
Core Competencies:
High proficiency in Google Workspace / Microsoft 365 (Docs/Word, Sheets/Excel, Slides/PowerPoint).
Familiarity with project management tools (e.g., Open Project, JIRA) or Applicant Tracking Systems (ATS) is an advantage.
Exceptional written and verbal communication skills with professional email etiquette.
Problem-Solving & Detail Orientation: Demonstrated ability to manage multi-step tasks, organize complex documentation and ensure accuracy under deadlines.
Ethical Discretion: Strong integrity in handling sensitive personnel data, institutional agreements and proprietary project details.
Passion for Sustainability: A genuine interest in environmental solutions, carbon markets, agroforestry, or climate technology.
