HR Generalist & Executive Assistant to CMD
Satsang Solutions Pvt. Ltd. (SSPL)
Location: Madurai (full-time, on-site, with occasional travel to Coimbatore and Chennai)
Reports to: Finance & Admin Incharge for HR; CMD directly for executive office work
Experience: 3–6 years, including hands-on generalist HR in a small or mid-sized company
Time split: About 60% HR and 40% CMD office
Role summary
SSPL is hiring an HR Generalist to own day-to-day HR operations and run the office of the Chairman & Managing Director.
On the HR side, this person will manage:
recruitment and onboarding
training and college partnerships
performance and benefits
statutory compliance
A core part of the role is building automated HR processes: policies, procedures, approvals and payroll all run through an HR system rather than manual paperwork, so HR can scale as SSPL grows across Madurai, Coimbatore and Chennai.
On the CMD side, they will manage the CMD's calendar, correspondence, meetings and follow-ups. They will be a trusted, discreet link between the CMD, leadership, clients and external stakeholders.
Key responsibilitiesPart A: Human Resources (about 60%)
1. Recruitment
Own recruitment end to end for all departments: plan hiring needs with department heads, source candidates (job portals, LinkedIn, referrals, campuses), screen, schedule interviews, and issue offer letters and reference checks. Final hiring decisions stay with department heads.
2. College collaboration for training and internships
Find partner colleges in Madurai, Coimbatore and Chennai (engineering, management, and arts & science). Formalise these partnerships through MoUs, and maintain active relationships with placement cells and heads of departments.
Design and run SSPL's structured internship programme. Intakes follow each college's academic calendar. Every intern gets a defined project in Operations, Zoho/Odoo implementation or Inside Sales, an assigned mentor, a formal evaluation and a certificate.
Convert the best interns into full-time hires, building a cost-effective, pre-trained talent pipeline.
Organise training programmes with colleges, such as workshops, guest lectures and skill programmes on Zoho, Odoo, business processes and the 4S methodology, delivered by SSPL experts. Where useful, use institutional partnerships to upskill SSPL's own team.
Track outcomes: interns hosted, intern-to-hire conversions, and feedback from colleges and mentors.
3. Onboarding, training and development
Handle joining formalities, documents, system access and a structured induction that includes the 4S methodology. Hold check-ins with every new joiner at 30, 60 and 90 days.
Work with department heads to identify training needs. Run a training calendar covering technical skills, customer handling, communication, and leadership development for team leaders.
4. HR policies, procedures and process automation
Develop HR policies and standard operating procedures (SOPs) that fit SSPL's goals and local regulations. Publish them as a digital, version-controlled policy library in the HR system (Zoho People preferred), with online employee acknowledgement.
Automate key HR workflows:
leave and attendance
travel and expense approvals
onboarding and exit checklists
document collection
probation confirmation reminders
appraisal cycles
alerts for compliance due dates
Provide employee self-service so routine requests and queries are handled in the system without manual forms. Maintain accurate employee records within the system.
5. Automated payroll, benefits and statutory compliance
Run payroll through an automated system (Zoho Payroll preferred) linked to attendance and leave data and to Zoho Books. The system handles salary calculation, statutory deductions, payslips, reimbursements and employee tax declarations.
Own the monthly payroll run and check any unusual changes. The Accounts team verifies payroll before salaries are paid and entered in the books.
Administer employee benefits (PF, ESI, gratuity and group health insurance where applicable), including enrolment, communication and query resolution.
Ensure compliance with applicable labour laws: PF, ESI, Professional Tax, the TN Labour Welfare Fund and Shops & Establishments registration. Handle filings and challans on time, using automated reminders and system-generated returns wherever possible.
6. Performance, engagement and retention
Coordinate the performance cycle (goal setting, KPI tracking, appraisals) through the HR system.
Run engagement activities, stay conversations and exit interviews. Track attrition and recommend retention actions.
Work with leadership to build a positive, inclusive, customer-success-focused culture.
7. External partnerships for process and people building
Work with external consultants, training partners and service providers (background verification, insurance, HR process specialists) to build HR processes and people capability that can scale.
Part B: CMD office (about 40%)
Calendar and appointments. Manage the CMD's schedule, including prospect meetings, association events (ICCI, Codissia, MCCI, CII, BAI) and banker or investor meetings.
Correspondence and drafting. Draft letters and emails, format proposals, and prepare briefing notes before important meetings.
Meeting management and follow-through. Prepare agendas and minutes for leadership reviews, and follow up with department heads until every action item is closed.
Board and company secretarial support. Coordinate board meeting notices and minutes and maintain statutory registers, working with the external CA or Company Secretary.
Travel, logistics and gatekeeping. Arrange travel, filter requests, and protect the CMD's time for high-value work.
Stakeholder relationship touchpoints. Send follow-ups, thank-you notes and occasion greetings to key clients and association contacts on the CMD's behalf.
Qualifications and skills
Education: A bachelor's degree in HR, Business Administration or a related field. An MBA (HR) or MSW (HRM or Labour Welfare) is preferred, and HR certifications are an advantage.
Experience:
3–6 years in HR generalist roles handling core HR operations, ideally in a company of 20–200 employees
Hands-on experience setting up or running an HR system and automated payroll
Experience with campus relations or internship programmes is a strong plus
Experience supporting a senior leader as an EA is a strong plus
Knowledge:
Tamil Nadu labour laws and statutory compliance, including awareness of the new Labour Codes
Payroll structures and benefits administration
Writing and interpreting HR policies
Skills:
A process-automation mindset: can map a manual HR process and turn it into a system workflow
HR software (Zoho People, Zoho Payroll and Zoho Recruit preferred), MS Office or Google Workspace, and strong Excel
Excellent written English and fluent spoken Tamil
Confident with institutions and able to present to students and faculty
Has personally delivered trainings
Strong organisation, time management and interpersonal skills
Personal attributes: Absolute integrity and confidentiality, a strong sense of ownership, attention to detail, and a people-first mindset.
How success will be measured in the first year
Success means:
payroll runs fully on the automated system, on time and without errors
all HR policies and SOPs are digitised with employee acknowledgements, and there are no manual leave or approval forms
there are zero missed statutory filings
at least two college MoUs are active, with interns hosted and some converted into full-time hires
open positions are filled on time and 90-day retention of new joiners is strong
the training calendar is delivered
the CMD's action items are closed on time
