About The Role
MDW Associates is seeking highly organized and proactive Executive Administrative Assistants to provide essential support to a complex Department of War organization. This role involves managing executive calendars, coordinating communications, and facilitating office operations to ensure the smooth functioning of leadership activities. The successful candidate will support a federal organization responsible for personnel security, mission assurance, and the protection of sensitive work environments. This position offers the flexibility of remote work with periodic on-site support in Quantico, Virginia, depending on mission requirements. The Executive Administrative Assistant will perform a variety of duties, including managing meetings, preparing reports, maintaining records, and supporting leadership initiatives. The role demands excellent communication skills, discretion, and the ability to handle multiple priorities efficiently.
Qualifications
High school diploma or equivalent
3+ years of progressively responsible executive, administrative, or office-management support experience
Demonstrated proficiency in Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel
U.S. citizenship and active Secret security clearance
Strong organizational, written communication, and customer service skills
Ability to manage competing deadlines with discretion and professionalism
Responsibilities
Manage executive calendars, schedule appointments, resolve conflicts, and prepare daily agendas, meeting summaries, and action items
Draft, edit, route, and maintain correspondence, memoranda, reports, briefings, and standardized templates
Coordinate virtual and in-person meetings, leadership forums, workshops, and training sessions; capture minutes and track follow-up actions
Maintain shared mailboxes, electronic and physical records, organization charts, rosters, and task-management data
Collect and consolidate data for leadership taskers; prepare status reports and presentation-ready charts or visuals
Support onboarding, in- and out-processing, visitor coordination, and administrative requests using designated systems
Assist with the organization and management of office operations to ensure efficiency and compliance with organizational policies
