About the role
Description supplied by the original job listing.
We are looking for a hands-on, detail-oriented US Accounting & Finance Operations Specialist to manage day-to-day finance operations for a growing, US-based services business.
This role requires more than expertise in a single accounting function. The ideal candidate will have practical experience across US accounting, accounts payable and receivable, payroll coordination, invoicing, reconciliations, financial reporting, and month-end close.
You should be comfortable working independently in a lean, fast-paced environment, managing multiple priorities, resolving financial discrepancies, and working directly with internal stakeholders and external vendors. We are looking for someone who can take ownership of processes, identify gaps, and help build efficient, reliable finance operations.
Key Responsibilities
1. US Accounting & Bookkeeping
Maintain accurate accounting records, general ledger entries, and supporting documentation.
Manage day-to-day bookkeeping and full-cycle accounting activities.
Perform bank, credit card, balance-sheet, and intercompany reconciliations as applicable.
Prepare journal entries, accruals, prepayments, and account schedules.
Support month-end and year-end closing activities.
2. Accounts Payable & Vendor Management
Manage vendor invoices, expense verification, payment preparation, and payment tracking.
Maintain accurate vendor records and resolve billing or payment discrepancies.
Coordinate with vendors and internal stakeholders to ensure timely payments and proper documentation.
3. Accounts Receivable & Billing
Prepare and issue customer invoices in accordance with contractual and billing requirements.
Monitor outstanding receivables, follow up on overdue payments, and maintain collection records.
Reconcile customer accounts, investigate discrepancies, and resolve billing queries.
Maintain accurate records of incoming payments and outstanding balances.
4. Payroll & Contractor Payments
Coordinate payroll processing, validate timesheets and compensation inputs, and review payroll calculations.
Support employee and contractor payments, payroll reconciliations, and related accounting entries.
Maintain payroll documentation and coordinate with payroll providers or relevant stakeholders to resolve discrepancies.
5. Financial Reporting & Cash Flow
Prepare monthly and quarterly financial reports, reconciliations, and management schedules.
Assist with cash-flow tracking, expense monitoring, budget-versus-actual analysis, and financial planning.
Maintain organized financial records and support audit and compliance requirements.
Highlight unusual transactions, financial discrepancies, and potential operational risks.
6. Finance Operations & Process Improvement
Manage multiple finance workflows independently in a lean operating environment.
Identify inefficiencies, improve documentation, and strengthen internal controls.
Coordinate with leadership, internal teams, vendors, accountants, and external service providers.
Ensure financial tasks, reporting deadlines, and follow-ups are completed accurately and on time.
Required Qualifications & Experience
3+ years of hands-on accounting or finance operations experience, preferably with US-based businesses or US clients.
Demonstrable working knowledge of US accounting practices and financial workflows.
Practical experience across bookkeeping, AP, AR, invoicing, reconciliations, and month-end close.
Direct involvement in payroll processing or payroll coordination, including timesheet validation and payroll-related reconciliations.
Experience supporting a small or medium-sized business, professional services firm, consulting business, or outsourced accounting practice.
Experience preparing financial reports and maintaining accurate accounting records.
Strong proficiency in QuickBooks Online or Xero; experience with NetSuite or other accounting systems is an advantage.
Advanced Excel skills and strong attention to detail.
Excellent written and verbal communication skills, with the ability to coordinate with US-based stakeholders.
