Position Overview
Our client is seeking a highly organized, proactive Executive Assistant to support senior leadership in a fast-paced, international media environment.
This person will work closely with the Director of Operations while providing support to the CEO and Chief Communications Officer. The ideal candidate can think quickly, anticipate needs, manage changing priorities, and operate independently without requiring significant hand-holding.
The organization works in a dynamic media environment where schedules, travel, and priorities can change quickly, making adaptability, discretion, sound judgment, and exceptional attention to detail essential.
Key Responsibilities
Provide high-level administrative and executive support to senior leadership
Manage complex calendars, meetings, and scheduling
Coordinate domestic and international travel, including last-minute changes
Prepare correspondence, meeting materials, itineraries, and follow-up items
Track expenses, action items, and deadlines
Support Board, donor, and stakeholder-related logistics
Assist with day-to-day operational needs and special projects
Maintain confidentiality when handling sensitive executive and organizational matters
Communicate professionally with internal and external stakeholders
Occasionally assist with in-person needs in South Florida
Work closely with the Director of Operations and maintain regular communication with leadership
Required Qualifications
Professional fluency in Spanish and English
Ability to read and write professionally in Spanish
Prior experience supporting senior executives
Strong preference for experience supporting a CEO, founder, president, or C-suite leadership
Exceptional organization and attention to detail
Strong judgment and ability to think independently
Ability to anticipate needs and solve problems proactively
Experience coordinating complex executive travel
Ability to manage multiple priorities in a fast-moving environment
Excellent verbal and written communication skills
High level of discretion and professionalism
Comfortable working independently in a primarily remote environment
Preferred Qualifications
Based in South Florida, particularly Miami, Hollywood, Fort Lauderdale, or surrounding areas
Previous nonprofit experience
Experience within media, communications, public relations, philanthropy, or another mission-driven organization
Experience working with distributed or international teams
Strong employment tenure and demonstrated stability in previous positions
Experience supporting Board members, donors, or external stakeholders
Work Environment
This position is primarily remote, with South Florida candidates strongly preferred because occasional in-person responsibilities may arise.
The organization encourages reasonable working boundaries; however, because it operates within the news and media space, priorities can occasionally require flexibility outside traditional business hours. Candidates should be comfortable working in an environment where plans can change quickly and urgent needs sometimes arise.
Compensation & Benefits
$55,000–$60,000 base salary
Full-time employee benefits include health/medical coverage, paid vacation, and additional standard benefits.
Ideal Candidate
The strongest candidate will be someone who is highly organized, exceptionally detail-oriented, proactive, calm under pressure, comfortable making decisions independently, and experienced supporting senior leadership.
They should also be professionally bilingual in Spanish and English and genuinely interested in contributing to a growing, mission-driven international organization.
