About The Company
University Health is a health system committed to providing quality care and supporting the communities it serves. Accurate, complete, and accessible medical records are essential to patient care, regulatory compliance, and effective health system operations. The Medical Records team helps maintain the integrity of health information by supporting record accuracy, documentation quality, and dependable information processes across the organization. In this role, you will work with colleagues, providers, University partners, and vendors to help ensure that medical record information is appropriately identified, corrected, reviewed, and distributed.
About The Role
University Health is seeking a detail-oriented Medical Records professional to support duplicate-record identification and resolution, chart corrections, documentation reviews, and quality assurance activities. You will use medical records databases and electronic medical record (EMR) systems to locate appropriate documentation, coordinate requests related to amendments and corrections, and distribute records or data as needed. The role also contributes to medical record audits, statistical analysis, process improvement, and staff training.
This position combines careful information handling with communication and coordination. You will correspond with internal departments, clinics, providers, University partners, and vendors to research identification discrepancies and help implement appropriate chart corrections. You will also work with management to support departmental projects and short- and long-term goals. Success in this role requires sound judgment, strong organizational skills, discretion, and a consistent commitment to confidentiality, service, and compliance.
Qualifications
An associate degree is required. Candidates must also have at least two years of experience performing administrative and clerical duties. Relevant experience with medical records, EMR systems, document review, data accuracy, or healthcare administration is valuable. Knowledge of HIPAA requirements is preferred, and HIPAA certification is an advantage.
The successful candidate will be able to review information carefully, identify discrepancies, maintain accurate records, and follow established procedures. Strong written and verbal communication skills are important for interacting professionally with providers, clinic staff, colleagues, partners, and vendors. Candidates should be comfortable organizing competing requests, handling confidential information appropriately, and contributing to a collaborative team environment. The ability to support training and explain documentation requirements clearly is also beneficial.
Responsibilities
Identify duplicate medical records and assist with record merges, chart corrections, and requests for amendments. Review medical record findings and use approved databases and EMR formats to locate, validate, and distribute the appropriate documentation or data. Support medical record audits, quality compliance reviews, and related statistical analysis.
Monitor documentation deficiencies in accordance with organizational policy and applicable state and federal requirements. Coordinate quality assurance activities for work completed by assigned staff and vendors, and communicate identified issues through the appropriate channels. Engage providers and clinic teams regarding documentation needs and provide training or guidance as necessary.
Assist with the development and delivery of training for internal and external departmental staff. Work with management to carry out projects and activities supporting departmental goals. Identify opportunities to improve work processes, procedures, equipment, and personnel planning, and contribute to practical improvements. Correspond with University partners and vendors to resolve identification discrepancies and support accurate record maintenance. Follow applicable federal and state regulations and accrediting-body requirements, including HIPAA and Joint Commission standards, and promote University Health’s Guest Relations Policy in daily interactions.
Benefits
University Health offers eligible employees access to benefits in accordance with applicable plan terms and organizational policies. Benefits and programs may vary by position and eligibility. Candidates are encouraged to review the information provided during the application and hiring process for current details.
