Role Purpose
This role supports the payroll function for the client's Australia and New Zealand workforce, delivering accurate, timely, compliant pay across every cycle. You process the day-to-day payroll, keep transactions in line with AU and NZ legislation, and resolve team-member queries within SLA. You also help identify improvements, contribute to system changes and UAT, and protect data integrity across the payroll systems. It exists because dependable, compliant pay at high volume needs analysts who get the detail right on every run and keep the team-member experience smooth.
Key Responsibilities
Payroll Operations & Oversight
Oversee end-to-end preparation, processing, distribution, reconciliation, and reporting of payroll for all client employees across weekly, fortnightly, and monthly cycles in Australia and New Zealand.
Ensure accuracy and timeliness of wage calculations, payments, and deductions; validate payroll inputs – timesheets, benefits, deductions, and bonuses – and monitor adherence to company policy.
Manage end-to-end termination processing – final pay, Employment Termination Payments (ETPs), redundancy, leave encashments, and statutory reporting – and administer leave entitlements accurately (annual, personal, long service, parental, termination-related).
Address and resolve complex payroll issues and escalations, drawing on deep knowledge of AU and NZ regional nuances, regulatory tasks, and country-wise deliverables.
Compliance, Governance & Audit
Ensure end-to-end compliance with Australian payroll legislation – Fair Work Act, National Employment Standards, Modern Awards, Enterprise Agreements, and applicable federal and state regulations – alongside New Zealand requirements.
Interpret and apply Modern Awards and Enterprise Agreements accurately: classifications, overtime, penalty rates, allowances, shift loadings, public-holiday payments, and leave entitlements.
Manage PAYG withholding, Single Touch Payroll (STP) reporting and annual finalization, Superannuation Guarantee and Super Stream compliance, and payroll tax across states and territories – registrations, reconciliations, lodgments, and statutory reporting.
Monitor and implement legislative and regulatory change (Fair Work, ATO, Superannuation, Wage Theft, Payroll Tax, state obligations) and validate employee and contractor classifications to mitigate misclassification risk.
Maintain payroll governance, internal controls, and audit processes; keep records, employee data, and pay slips to legislative standards and audit-ready; and coordinate with client auditors and regulatory bodies during audits.
Leadership & Team Oversight
Lead and mentor a multi-tier payroll organization – managers, payroll analysts, and specialists – building a culture of accountability, service excellence, and continuous improvement.
Set SLAs, KPIs, and quality benchmarks, allocate resources to meet deadlines and service levels, and coach the team on performance.
Manage cyclical performance reporting, internal and external, with continuous-improvement plans, and give new team members a strong onboarding experience.
Liaise with Quality Coaches on quality-assurance monitoring for consistent feedback and support the team on their goals and capability.
Systems, Process & Data Integrity
Manage payroll systems and software, ensuring data integrity and security across all systems and processes.
Drive automation, streamlining, and process enhancement to improve efficiency, and collaborate with client IT and HRIS teams on system upgrades and integrations.
Stakeholder Collaboration
Partner with HR on compensation, benefits, and employee-relations matters, and communicate pay policies and procedures clearly.
Work with Finance to reconcile payroll accounts and support budgeting and forecasting and provide payroll insights and reports to senior leadership.
Collaborate with other Service Leads on day-to-day requirements and future improvements or projects.
Strategic Initiatives
Develop payroll policies and procedures aligned with organizational goals, and lead projects across payroll transformation, mergers and acquisitions, or expansion.
Keep employees satisfied through transparent, responsive payroll operations.
Qualifications – Minimum Requirements
Bachelor's degree in accounting, finance, HR, or a related field; a master's is preferred.
8–12 years of Australia and New Zealand payroll experience, including at least 4–5 years in a leadership role, ideally leading complex, high-volume payroll.
Strong working knowledge of Australian payroll legislation – Fair Work, Modern Awards, NES, PAYG, STP, Superannuation, Payroll Tax – and New Zealand legislation and the relevant Enterprise Agreements.
Demonstrated experience managing payroll compliance in a complex, multi-state Australian environment, with a proven ability to interpret legislation and implement the resulting process changes.
Experience with HRIS and payroll systems (ideally SuccessFactors, UKG Pro, and SAP-EC), and knowledge of Excel macros and Google Sheets for calculations.
Strong analytical, audit, risk management, and stakeholder-management skills, with a focus on compliance, governance, and continuous improvement.
Excellent problem-solving, organizational, and communication skills, with strong leadership.
Preferred Qualifications
Experience leading change as a people leader.
Experience running payroll transformation, M&A integration, or expansion projects.
Key Skills & Attributes
Confidentiality and a strong risk lens for data privacy and compliance.
High attention to detail and accuracy in payroll calculations and compliance.
Leadership that inspires and guides payroll teams to excellence, especially through change.
Strategic thinking that aligns payroll with business objectives, with strong problem-solving.
Adaptability to regulatory change and growth, with strong stakeholder collaboration and influence.
