Your Role:
In this role you will perform a wide range of purchasing, office administrative duties, and support employee events and engagement activities. This role follows a hybrid work model that supports a blend of in-office and remote work, requiring three days onsite per week. Seeking a dynamic, creative and enthusiastic individual to work and collaborate with our customers and the overall team.
Responsibilities include but are not limited to:
Initiates purchase orders, manages invoice receiving, processes change orders, and coordinates contract development.
Serves as the primary purchasing contact for Site Operations, active Research Units, and designated research groups.
Provides administrative support for RFQs and RFPs while reviewing quotes and proposals for policy compliance and accuracy.
Manages procurement card transactions, expense reports, invoice processing, and vendor/account setups via SAP/Ariba, Concur, and GES collaboration.
Handles core office administration, including document routing via DocuSign, filing, data entry, office supply ordering, and department website maintenance.
Develops and maintains the department's document management systems, governance, and administrative support for meetings and onboarding.
Coordinates logistics, budgeting, calendar management, and campus messaging for department events from planning through evaluation.
Drafts internal communications, supports campus employee engagement initiatives, and represents the Site Operations team on campus committees.
Who You Are:
Minimum Qualifications:
Bachelor’s Degree in any discipline and 3+ years of administrative and/or event planning experience.
OR
High School Diploma or GED and 7+ years of administrative and/or event planning experience.
Preferred Qualifications:
Strong verbal and written communication skills, excellent organizational skills, and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Forms).
Strong interpersonal skills are necessary to effectively relate with diverse stakeholders, including senior leadership, scientists, and colleagues across the campus.
Ability to exercise good judgment and make decisions in a variety of situations.
Ability to work under pressure at times and to handle a wide variety of activities and confidential matters with tact, discretion, and diplomacy.
Team player with a track record of developing rapport and credibility with colleagues.
Familiarity and experience with Ariba, SAP, and Concur.
Pay Range for this position: $37 - $57 / hour
