About the Opportunity
The Senior Executive Assistant & EA Team Lead delivers high-touch executive support to senior leadership—including the Co-Founder, President & Chief Medical Officer—while leading and elevating the executive assistant function across the organization.
Operating as a hands-on player-coach, this role directly manages complex executive priorities while establishing a structured, scalable executive support model. The role is designed for an experienced executive support professional who excels at removing administrative friction, creating operational leverage for senior leadership, and developing other assistants.
Key Responsibilities
Executive Support:
Deliver high-touch, high-judgment support to executive leadership and selected senior leaders.
Manage complex scheduling, travel logistics, meeting preparation, communications, prioritization, and follow-through.
Develop an in-depth understanding of executive working styles and strategic priorities to manage their time proactively.
Anticipate operational needs, identify next steps, and resolve open loops independently.
Navigate competing demands across multiple executives and make balanced decisions regarding immediate priorities.
Maintain oversight of active commitments and ensure continuous momentum during rapid organizational shifts.
Proactively report progress, surface obstacles early, and maintain transparency on work status.
Act as a trusted partner operating with sound judgment, discretion, and a high degree of urgency.
Team Leadership:
Manage, coach, and develop members of the executive assistant team.
Establish and maintain consistent performance standards for responsiveness, judgment, communication, anticipation, and execution.
Design executive support frameworks, identifying where dedicated, shared, or pooled coverage is required.
Lead hiring and onboarding for additional executive assistants as organizational needs expand.
Build resilient coverage models and operational workflows to ensure uninterrupted executive support.
Provide direct hands-on support where needed while holding team members accountable to high standards.
Mentor executive assistants into strategic executive partners and manage performance where expectations are not met.
Executive Operations:
Refine internal systems and administrative practices to minimize operational friction for executives and their teams.
Identify recurring workflow challenges and build simple, scalable operational solutions.
Collaborate cross-functionally with People, Finance, Legal, IT, and related departments on executive initiatives.
Define and implement clear operating norms and standards for executive support across the organization.
Required Qualifications
7–10+ years of executive support experience within fast-paced, high-performance environments.
Demonstrated experience directly supporting C-level or similarly senior executives.
Proven track record of successfully supporting multiple senior executives concurrently.
2+ years of people management, team leadership, or formal experience coaching and developing executive assistants.
Exceptional organizational capability with the proven ability to manage numerous complex tasks simultaneously.
Sound judgment with the ability to make effective decisions in ambiguous environments or with incomplete information.
History of anticipating executive needs and executing solutions without requiring explicit direction.
Excellent written and verbal communication abilities.
Strong responsiveness and an acute sense of urgency.
Ability to assess competing priorities and distinguish urgent matters from secondary tasks.
Experience establishing or enhancing executive support systems, processes, or teams.
Preferred Qualifications
Experience working in high-growth or scaling organizations.
Compensation and Benefits
Base salary range: $119,000 - $140,000 per year. Actual pay is determined by factors including qualifications, experience level, and skill set, and the range may vary if the role is filled at a different level.
