Remote Healthcare Patient Onboarding & Booking Specialist
Full-Time | Remote | Patient Communication | CRM Management | Appointment Booking
We are hiring a highly motivated Healthcare Patient Onboarding & Booking Specialist to join a growing remote healthcare operations team
This is not a traditional call-center position.
You will be responsible for managing patient leads from the moment they request information through qualification, appointment booking, confirmation, follow-up, and reactivation.
We are looking for someone who is exceptionally strong on the phone, fluent in English, organized, detail-oriented, comfortable working inside a CRM, and capable of taking ownership of their assigned clinics and patients.

What You’ll Be Doing
Your day-to-day responsibilities will include:
Calling new patient leads and responding quickly to inquiries
Speaking with patients who requested information about healthcare and wellness services
Understanding the patient’s goals and reason for reaching out
Asking approved qualification and pre-qualification questions
Explaining the consultation process clearly and professionally
Booking qualified patients into clinic calendars
Following up with prospects who have not yet scheduled
Recovering canceled appointments
Following up with no-shows and helping them reschedule
Contacting patients who are still considering treatment
Re-engaging older and inactive leads
Confirming upcoming appointments
Responding to inbound SMS conversations
Following up through phone, text, and email
Keeping detailed and accurate CRM notes
Updating lead stages and appointment outcomes
Managing follow-up tasks and reminders
Reviewing previous notes before contacting a patient
Coordinating with clinic staff when additional information is needed
Escalating medical questions appropriately instead of providing medical advice
Maintaining an organized and accurate patient pipeline
You may be responsible for multiple clinic locations and will be expected to understand which leads require immediate attention without waiting for a manager to tell you what to do.
Lead Management
You will work with several types of patient leads, including:
New leads
Prospects
Appointment requests
Missed calls
Unread messages
Thinkers
Canceled appointments
No-shows
Previous patients
Old and inactive leads
You will learn how to prioritize these groups based on intent, urgency, and likelihood of conversion.
A strong team member understands that a new lead, missed call, or active patient reply should normally be handled before a cold lead from several months ago.
What a Typical Day Looks Like
You may begin your shift by:
Reviewing new leads
Checking missed calls
Responding to unread messages
Reviewing today's and tomorrow's appointments
Following up with high-intent prospects
During the day, you will rotate between:
New lead outreach
Appointment booking
Prospect follow-up
Confirmation calls
Cancellation recovery
No-show recovery
CRM updates
Patient text conversations
Later in the day, you may focus heavily on after-work calling periods when patients are more likely to answer.
The role requires both communication ability and operational discipline.

English Requirement
Fluent spoken English is required.
This position involves communicating primarily with patients in the United States.
You should be able to:

Handle objections without sounding scripted
Communicate professionally by phone and text

Internal dashboards
Experience with platforms such as GoHighLevel or similar CRM systems is a strong advantage.
You must also be comfortable learning new software quickly.
Remote Work Requirements
This is a 100% remote position.
You must have:
A reliable computer
A professional headset
Stable high-speed internet
A quiet working environment
Reliable electricity
Backup internet when possible
Ability to remain available and responsive throughout your scheduled shift
A strong fiber or 5G connection is highly preferred.
Schedule
This position generally requires approximately:
7 to 8 hours per day
The schedule is designed around United States clinic and patient hours, so candidates must be comfortable working later hours depending on their local time zone.
Typical calling activity includes:
Early morning U.S. patient hours
Lunch / afternoon periods
After-work calling periods
Some schedules may be split throughout the day based on clinic needs and patient response patterns.
Availability, reliability, and flexibility are important.
Training
Selected candidates will complete a structured training and evaluation period before being given full responsibility.
