Front Desk Receptionists - ModMed (EMA) experience

We are seeking two friendly, articulate, and highly organized Front Desk Receptionists with ModMed (EMA) experience to join our team (2 Openings Available). Serving as the primary point of contact for our medical practice, you will manage inbound phone calls, schedule patient appointments, and verify insurance eligibility.
Working alongside a collaborative virtual team supporting the practice, the ideal candidate possesses exceptional English communication skills, a professional phone presence, and hands-on experience navigating ModMed (EMA).
Working Environment & Schedule
Openings: 2 Slots Available
Status: Full-Time (40 Hours / Week)
Schedule: Monday – Friday, 8:00 AM – 5:00 PM EST (US Eastern Standard Time)
Core EHR Platform: ModMed (Modernizing Medicine / EMA)
Camera-On Shift Requirement: Agreement and ability to maintain an active, camera-on presence throughout the entire 8-hour shift—required for efficiency, real-time communication, and seamless collaboration with the team of virtual assistants supporting the practice.
Top 3 Daily Tasks
Call Management: Answer incoming calls promptly and professionally, address patient inquiries, take detailed messages, and route complex requests appropriately.
Appointment Scheduling: Manage provider calendars and schedule patient appointments accurately within ModMed according to practice guidelines.
Insurance Verification (IV): Verify active insurance coverage, copays, deductibles, and eligibility prior to patient visits to ensure smooth check-in workflows.
Core Responsibilities
Manage high-volume inbound phone calls with a warm, professional, and clear tone.
Book, reschedule, and cancel patient appointments in ModMed (EMA), optimizing provider schedules.
Perform real-time insurance eligibility checks, verify benefits, and update patient coverage details in the system.
Assist patients with portal registration, digital intake forms, and pre-appointment instructions.
Maintain active video presence throughout the shift for immediate team communication, real-time syncs, and operational alignment with co-VAs.
Document all patient interactions and call notes accurately within the EMR.
Requirements
Must-Have / Required Qualifications
EMR Experience (Mandatory): Direct hands-on experience using ModMed (EMA / Modernizing Medicine).
Communication Skills: Exceptional verbal and written English communication skills with a polished, professional phone demeanor for front-desk patient interactions.
Front Desk & IV Background: Proven experience in medical reception, appointment scheduling, and insurance verification (IV).
Camera & Team Presence: Commitment to maintaining an active camera-on presence for the full 8-hour shift to collaborate with the team.
Remote Setup: Private, HIPAA-compliant home workspace, dedicated PC/Mac, high-speed internet, backup power/internet, and a noise-canceling headset.
Preferred / Nice-to-Have Qualifications
Specialty Experience: Previous experience working in a Dermatology practice setting.
