Vertin is looking for an Office Manager who's excited by the opportunity to help build a positive, connected team culture — someone who sees this as a chance to support something great, not just keep things running. This is more than an administrative role: based out of Gillette and covering three locations, it's a chance to bring structure and consistency across sites, support families with compassion during their most important moments, and be the steady, dependable presence a growing team rallies around. This position reports directly to the Location Manager or General Manager and is responsible for the day-to-day front office, bookkeeping, and administrative support of funeral home operations and facilities across three locations: Gillette Memorial Chapel, Meridian Mortuary, and Walker Funeral Home.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Manage the reception area and respond to families, funeral home staff, and public inquiries by phone, email, and in person.
Greet families and guests, handling inquiries and directing them according to their specific needs.
Maintain daily incoming and outgoing mail, postal deliveries, and package pickup.
Support funeral home staff with administrative tasks related to arrangements, obituaries, death certificates, and related documentation.
Oversee bookkeeping functions across all three locations, including reconciling checkbooks and maintaining accurate financial records.
Oversee billing processes, including accounts receivable and accounts payable, across assigned locations.
Assist in the creation of memorial bookmarks, folders, videos, social media posts, and the funeral home website as needed (some exposure to social media or production work is a plus, but not required).
Maintain distribution lists and process mailings for customer satisfaction surveys, aftercare, and preneed initiatives.
Support administrative tasks and facility set-up for memorial, community, and special events.
Maintain and purchase office supply and product inventories.
Oversee the upkeep of office areas, public rooms, and equipment, and provide occasional assistance with vehicles.
Lead funeral home staff in housekeeping duties to ensure each facility reflects a clean, organized, and professional environment at all times.
Help foster a positive, respectful office culture and serve as a steady, professional presence for the team.
Perform other duties as assigned.
Requirements

High level of compassion, integrity, and confidentiality for the families served

Excellent customer service skills
Strong written and verbal communication skills
Organizational skills with strong attention to detail, especially when managing tasks across multiple locations
Basic bookkeeping skills, including experience reconciling accounts
Proficiency with Microsoft Office, databases, and general internet tools
Ability to multi-task, set priorities, make decisions, and delegate when appropriate
A natural leader who brings positive energy, consistency, and professionalism to a growing team
High emotional intelligence and sound judgment; builds trust through openness, fairness, and follow-through
A genuine enthusiasm for shaping team culture and setting a positive, collaborative tone for others to follow

Comfortable partnering closely with new leadership to help establish strong team habits and processes
Ability to work independently and monitor the work of others across multiple sites to ensure tasks are completed
Interest or experience in social media or production tasks is a plus, though not required
EDUCATION, EXPERIENCE, CERTIFICATIONS
High School Diploma or equivalent, plus one to three years of related office management, bookkeeping, or customer service experience preferred.
