About the Role
The organization is seeking a detail-driven Events Coordinator to support and elevate in-person experiences for a remote-first, distributed team. In this full-time role based in the United States, the Events Coordinator will partner closely with the Employee Experience and Events lead to manage event logistics, vendor relations, registration, and communications for company offsites, summits, and town halls.
Key Responsibilities
• Support the planning and execution of organization-wide offsites, annual summits, and quarterly in-person town halls.
• Coordinate and manage external vendors, including venues, catering, travel, audiovisual services, and merchandise.
• Oversee registration, RSVP tracking, and check-in processes for internal events to ensure a seamless attendee experience.
• Partner with internal communications to draft and distribute event invitations, reminders, and recaps to drive engagement across a distributed workforce.
• Assist in developing and refining repeatable event playbooks and operational processes.
• Identify opportunities to automate workflows, optimize processes, and provide actionable feedback to internal product teams.
• Manage the strategy and execution for internal merchandise programs (including new hires, milestones, and special events), working with online swag store vendors to ensure quality fulfillment and logistics.
• Travel on-site 2 to 3 times per quarter to manage setup, run-of-show execution, and real-time problem-solving.
Qualifications
• 1 to 3+ years of experience in event coordination, hospitality, administrative support, or a related field.
• Demonstrated experience managing vendors, venues, and event budgets.
• Strong written communication skills, with comfort owning event-related communications.
• Proficiency with event registration/RSVP tools and project management software.
• Hands-on experience managing online swag stores or corporate merchandise programs.
• Strong organizational skills, keen attention to detail, and an eye for design.
• Willingness and ability to travel to support on-site events as needed.
Compensation and Benefits
• Base pay range: $73,000—$101,000 USD.
