The Role
We are seeking an Executive Assistant to support the four C-suite leaders of Uplift’s Value Creation Center (VCC) — our Chief Technology Officer, Chief Legal Officer, Chief Strategy Officer, and Head of Portfolio Infrastructure. This is a dedicated seat for the VCC team, working alongside the Executive Assistants who support the Managing Partner and the investment team.
The VCC team spends its days with portfolio company executives, and nearly every meeting has to be built across organizations. You will manage four complex calendars across Central and Eastern time zones, coordinate directly with portfolio company executive assistants to get meetings on the books, and own the travel, materials, and logistics that make those meetings productive.
This is a fully remote position, open to candidates based anywhere in the United States who can cover a 9:00 a.m. to 6:00 p.m. workday supporting executives in Central and Eastern time.
It is a highly visible, hands-on role requiring exceptional organization, discretion, and the ability to anticipate needs before they are raised. As the portfolio grows, so does the coordination load — this role exists to absorb it.
What You’ll Do
Calendar Management
Own complex, rapidly changing calendars for four executives, including videoconference and conference room logistics
Support executives working in both Central and Eastern time zones, with core coverage from 9:00 a.m. to 6:00 p.m., and schedule with the time difference in mind
Anticipate and resolve scheduling conflicts, reprioritizing in real time as portfolio and firm priorities shift
Sequence and batch meetings to protect focus time and minimize unnecessary travel days
Portfolio Company Meeting Management
Serve as the VCC team’s single point of coordination with portfolio companies, working assistant-to-assistant with portfolio company executive assistants to schedule meetings quickly and without back-and-forth
Run interference on scheduling where the team has no visibility into portfolio company executive calendars, building the relationships that make cross-company scheduling fast
Coordinate multi-party meetings that span the VCC team, portfolio company leadership, and, where relevant, the investment team
Track recurring meeting cadences with each portfolio company and keep them on schedule as the portfolio grows
Travel Coordination
Own travel logistics for the VCC team — booking flights, hotels, and ground transportation, managing travel profiles and preferred vendors, and resolving changes and delays in real time
Identify where executives are attending the same event or visiting the same company, and coordinate their travel together — aligned flights, consistent hotels, shared ground transportation — to simplify logistics and control cost
Build detailed itineraries that account for meeting schedules, travel time, time zone changes, and on-the-ground logistics, and keep the team aligned on plans as they change
VCC Team Operations
Serve as an extension of the VCC team, taking on the administrative work that keeps the group organized, aligned, and in sync
Organize and maintain the team’s documents, notes, and materials in SharePoint and other internal repositories, with consistent naming, filing, and version conventions
Help manage the OneGuide platform, including onboarding new portfolio company executives and keeping content and user records current
Distribute agendas, capture action items, and track follow-ups and deadlines across the team
Portfolio Executive Events
Coordinate the meetings and events Uplift holds for portfolio company executives, including CxO summits — venue, agenda, invitations, materials, travel, and on-site logistics
Partner with portfolio company executive assistants to secure attendance well in advance and manage materials deadlines
Proofreading & Data Entry
Proofread and format materials before they go to portfolio companies, boards, and investors, including memos, presentations, agendas, and correspondence
Handle data entry and record-keeping across firm systems, keeping contacts, meeting notes, and activity accurate and current
Interview Coordination
Coordinate candidate interview logistics, including scheduling, onsite visits, travel, interviewer calendars, and candidate tracking and feedback collection
Serve as a professional and welcoming point of contact for candidates, recruiters, and search partners throughout the process
Expense Management
Prepare, submit, and track expense reports for the VCC team, ensuring accuracy and timely reimbursement
Reconcile corporate card activity and maintain documentation in line with firm policy and internal controls
Who You Are
Required
5+ years of experience as an executive assistant or administrative professional to multiple executives at once
Experience scheduling with assistants and stakeholders outside your own organization, where you do not control or see the other side’s calendar
Hands-on experience coordinating travel logistics, including multi-leg itineraries and group travel
Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, and videoconferencing platforms
Availability to cover a 8:30 a.m. to 5:30 p.m. workday supporting executives in both Central and Eastern time
