About The Role
The Office of Human Resources at SIU Medicine is seeking a dedicated Administrative Support professional to provide essential administrative assistance within the HR department. This role involves managing a variety of tasks in a fast-paced environment, requiring excellent organizational skills, attention to detail, and the ability to handle confidential information with integrity. The incumbent will serve as a frontline representative, greeting visitors, supporting HR functions, and ensuring smooth daily operations. The position offers an opportunity to contribute to a dynamic team, supporting HR initiatives, onboarding processes, and administrative projects that uphold the organization’s mission of excellence in healthcare education and service.
Qualifications
High school diploma or equivalent required.
Any combination totaling at least one (1) year (12 months) of experience in human resource administration, business administration, or a closely related field. Coursework in these areas is also acceptable, with 30 semester hours equating to one year of experience.
Experience performing basic human resource, payroll, or general office support duties preferred.
Strong organizational and multitasking skills, with the ability to prioritize changing demands effectively.
Excellent communication skills, both written and verbal.
Proficiency in MS Office Suite, including Word, Excel, and Outlook.
Ability to maintain confidentiality and handle sensitive information discreetly.
Detail-oriented with a focus on accuracy and efficiency.
Responsibilities
Provide front desk coverage by greeting visitors professionally and courteously, offering assistance, and directing inquiries appropriately.
Screen and refer calls and visitors in a respectful, welcoming manner, ensuring all interactions reflect the organization’s standards of service.
Handle incoming mail and emails, sorting and prioritizing correspondence while maintaining confidentiality.
Research, compile, and analyze data to support HR projects and initiatives.
Perform routine data entry, queries, updates, and maintenance within HR databases and records systems.
Support the maintenance of personnel files, including scanning, organizing, and ensuring record retention compliance.
Assist with processing and tracking pre-employment screenings, background checks, and related documentation.
Coordinate scheduling of appointments, maintain shared calendars, and support onboarding activities for new employees, temporary workers, and volunteers.
Create and manage electronic personnel files, prepare onboarding packets, and verify necessary documentation such as I-9 forms.
Track temporary employee end dates and assist with processing separations when applicable.
Collaborate with administrative staff to order office supplies and ensure the smooth operation of HR functions.
Complete employment verifications promptly within two business days of request.
Support HR leadership by scheduling meetings, drafting correspondence, distributing documents, and managing communication tasks.
Assist with special projects and miscellaneous administrative tasks as assigned to support the department’s goals.
