At Flying Seahorse, we are looking for a highly organized, detail-oriented, and proactive professional to join our international team as an Accounting & Operations Specialist.
Flying Seahorse is a luxury catering company serving the private aviation industry, where precision, speed, and attention to detail are essential to every flight.
In this role, you will work at the intersection of finance, administration, and daily operations, helping ensure that both our financial processes and operational workflows run smoothly.
This is a long-term remote opportunity for someone who enjoys working in a dynamic international environment, taking ownership of tasks, solving problems, and being involved in different areas of the business.
💼 WHAT YOU’LL DO
Accounting & Finance
Create and issue client invoices accurately and on time.
Track incoming payments and follow up on outstanding balances.
Prepare and manage quotations, invoices, and payment documentation.
Maintain and update accounting databases and financial records.
Assist with bank transfers and ensure proper documentation.
Support monthly reconciliations and bookkeeping processes.
Assist with financial reporting and annual closing processes.
Maintain accurate records related to company and management accounts.
Operations
Support the daily coordination and follow-up of client orders.
Coordinate with internal teams, kitchens, suppliers, and operational partners.
Monitor orders from confirmation through delivery and ensure all details are correctly managed.
Assist with purchase orders, supplier documentation, and operational administration.
Follow up on last-minute changes, requests, and operational requirements.
Help ensure accurate communication between clients, suppliers, and internal teams.
Identify operational issues and help find practical solutions quickly.
International Team Collaboration
Work closely with our teams across different locations.
Communicate with international clients and suppliers when required.
Support internal projects, process improvements, and team initiatives.
Learn and understand the specific requirements of the private aviation and luxury catering industry.
Although this is a remote position based in Colombia, the role may include occasional travel to Europe or the Caribbean, depending on the needs of the team and the development of our operations.
This may include team meetings, operational support, client or supplier visits, training, and other company-related activities.
🎯 WHAT WE’RE LOOKING FOR
Degree or professional background in Accounting, Finance, Business Administration, Operations, or a related field.
Previous experience in accounting, billing, administration, operations, or a combination of these areas.
Strong Excel skills, including formulas, spreadsheets, and data organization.
Excellent attention to detail and organizational skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving and follow-up skills.
High level of responsibility, integrity, confidentiality, and professionalism.
Excellent written and spoken English.
Ability to work independently while collaborating effectively with an international team.
A proactive mindset and willingness to take ownership of responsibilities.
Previous experience with international companies or multi-entity environments is a plus.
Experience in aviation, hospitality, catering, or luxury services is a plus, but not required.
