Job Description:
This recruitment will be used to fill one part-time (a maximum of 24 hours per week) student office assistant for academic advisor position for the department of Agricultural Education, Communication, and Sciences at Oregon State University (OSU).
Position Duties:
80% Administrative Support:
Data Entry: generate spreadsheets, compiling or monitoring data for academic advisor (Example: Collecting information about advising appointments)
Creating and formatting documents, spreadsheets, and presentations
Update department-level forms (Example: internship application form)
Creating flyers, handouts, and communication template
Assist with preparation of orientation materials
Reviewing/summarizing student forms (Example: registration hold removal request form)
Supporting email inbox management and routing student inquiries
Responding to student inquiries (Example: prospective student inquiries to add a minor, request a major change)
Assisting with website or online resource updates
Organizing and maintaining shared resource folders
Managing appointment scheduling and calendar coordination
Connect with academic advisor to accomplish other daily tasks/special projects as needed
10% Event Support: planning, material organization, setup (Example: assist at CAS recruitment events such as Ag. & Natural Resource Day)
10% Receptionist Duties: support students/visitors by answering their inquiries in-person and via email.

Qualifications:

Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
Must meet the applicable minimal enrollment standard
High School student: Regularly enrolled in a high school or participating in a home-schooling program
Undergraduate and post-baccalaureate student: 6 credit hours per term
Undergraduate international student: 12 credit hours per term*
Graduate student officially admitted to Graduate School: 5 credit hours per term
Graduate international student officially admitted to Graduate School: 9 credit hours per term*
*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Required Qualifications:
Available to work fall 2026 through spring 2027, with the option to continue working the next academic year if still a student and performing well
Must be able to work at least 8 hours/week (Monday-Friday, 8:00 am – 5:00 pm)
Must be reliable and adhere to an assigned, long-term work schedule
Commitment to ensuring student privacy and confidentiality
Demonstrates attention to detail and independent work style
Demonstrated strong communication skills
Ability to prioritize and multitask
Ability to learn new software
Preferred Qualifications
Has attended Oregon State University for at least three terms
Experience with Microsoft office suite programs (Outlook, Excel, Word)
Current student at Oregon State University in the College of Agricultural Sciences
Working Conditions/Schedule:Student employee to do general clerical work for the the department's academic advisor
