Accommodation Coordinator
Location: Auckland CBD
Full-time | Permanent | On-site
About the role:
We’re looking for an Accommodation Coordinator to help create a safe, supportive and smooth accommodation experience for our international students, with a key focus on supporting Under 18 students studying at UP International College (UPIC).
This is a hands-on coordination role where you’ll manage everything from student accommodation and holiday arrangements through to enquiries, invoicing and payment follow-ups. You’ll work closely with students, parents, agents, accommodation providers and teams across the business, making sure everyone has the information and support they need.
Some of your key responsibilities will include:
Coordinating accommodation arrangements for international students, including homestay placements and Designated Caregiver arrangements.
Supporting Under 18 students and ensuring required accommodation and welfare processes are completed.
Managing the Under 18 Holiday Plan process, including sending forms, following up with students and families, and confirming arrangements with accommodation providers.
Responding to accommodation enquiries from students, parents, agents, external providers and internal teams.
Coordinating accommodation changes, transfers and other student requests as they arise.
Issuing accommodation invoices, monitoring payments and following up on outstanding amounts or discrepancies.
Maintaining accurate student, accommodation and compliance records across relevant systems.
Working closely with accommodation providers and the wider team to resolve issues and support a positive student experience.
Participate in a rotating roster to manage the 24/7 emergency phone, providing after-hours support when required.
You’ll need to be comfortable managing competing priorities, keeping on top of follow-ups and adapting when things change, while taking a proactive approach to supporting students and the wider team.
About you:
We’re looking for someone who is organised, proactive and comfortable working in a busy environment where priorities can change. You’ll know how to manage your workload effectively, keep track of the details and make sure important tasks don’t fall through the cracks.
You won’t be afraid to ask questions, seek clarification when you need it and get stuck in to find a solution. You’ll also enjoy working with people and understand the importance of providing a supportive and responsive experience for students who may be adjusting to life and study in a new country.
You’ll ideally bring:
Previous experience working in student accommodation, accommodation coordination or a similar environment
Experience working with international students or within the international education sector would be an advantage.
Strong organisational and prioritisation skills, with the ability to manage multiple tasks and follow-ups at once.
A proactive, hands-on approach and the confidence to ask questions and seek support when needed.
Excellent communication skills and the ability to build positive relationships with students, parents, agents, providers and internal teams.
Strong attention to detail when managing documentation, records, invoices and payments.
Confidence using Microsoft Office and CRM or student management systems, with the ability to learn new systems quickly.
Empathy and sound judgement when dealing with student welfare matters or sensitive situations.
The ability to work effectively with people from a wide range of cultural backgrounds.
