About The Role
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This full-time, in-person position is based at our lumberyard in Charleston, IL. The successful candidate will play a vital role in supporting the Store Manager, lumberyard employees, and customers by managing essential administrative tasks efficiently and accurately. While the position is primarily located at the lumberyard, the Administrative Assistant will report directly to the Store Manager and collaborate closely with the corporate office team at KBC Headquarters. This role offers an excellent opportunity for individuals seeking to develop their administrative skills in a dynamic and supportive environment.
Qualifications
The ideal candidate will possess a high school diploma or equivalent and demonstrate previous experience in administrative support and order processing. Strong organizational skills and meticulous attention to detail are essential. Familiarity with tools such as Microsoft Word, Excel, and accounting software like Bistrack is preferred but not mandatory. A basic understanding of bookkeeping functions, including accounts payable and receivable, will be advantageous. The candidate should have excellent communication skills, the ability to work under deadlines, and a willingness to learn and adapt. Physical ability to lift up to 50 pounds and perform routine office tasks is required. Candidates must be team players, proactive, and capable of handling multiple priorities efficiently.
Responsibilities
Preparing daily bank deposits, reconciling bank statements, and ensuring timely deposits to the bank.
Processing invoices accurately and promptly, adhering to discounts and payment terms.
Organizing and filing incoming delivery tickets, transfer documents, and other records systematically.
Receiving and entering incoming inventory data from vendors and other stores into the point-of-sale system.
Managing customer accounts by processing payments, applying payments correctly, and reviewing delinquent accounts.
Tracking and documenting donations throughout the year for record-keeping and reporting purposes.
Providing occasional coverage at the sales counter, assisting customers, and supporting sales team efforts when needed.
Submitting invoices for payment in accordance with check run schedules, ensuring all procedures (purchase order numbers, vendor selection, ledger coding) are correctly followed.
Reviewing sales tax transactions daily to verify accuracy and compliance.
Handling general office duties such as filing, answering phones, and supporting administrative functions.
Collaborating daily with the corporate office team to ensure smooth operations and communication.
Performing additional duties as assigned by the Store Manager or leadership team to support store and company goals.
