Role Description
This is a full-time, on-site Compliance Specialist – Employee Transportation role based in Chennai. The Compliance Specialist will be responsible for monitoring, implementing, and ensuring compliance across employee transportation and mobility operations.
The role will focus on ensuring that transport vendors, vehicles, drivers, routes, operational processes, employee safety practices, and statutory documentation comply with applicable laws, customer requirements, company policies, and contractual standards.
The Compliance Specialist will work closely with Operations, Business HR, Transport Operations, Vendor Management, EHS/Safety, Finance, and Customer teams to identify compliance gaps, assess operational risks, implement corrective actions, and maintain a strong compliance framework across employee transportation sites.
Key Responsibilities
- Monitor compliance of employee transportation operations with applicable Central and State laws, transport regulations, labour requirements, safety standards, and customer-specific compliance requirements.
- Ensure proper compliance of transport vendors, vehicles, drivers, and supporting personnel with required statutory and operational documentation.
- Verify vehicle-related documents including RC, insurance, fitness certificate, permit, pollution certificate, road tax, and other applicable statutory documents.
- Monitor driver documentation, driving licence validity, police verification, medical fitness, training, background verification, and mandatory safety requirements.
- Ensure compliance with employee transportation safety protocols, including vehicle safety, GPS/technology compliance, emergency response, trip monitoring, route adherence, and incident reporting.
- Conduct periodic compliance reviews and identify gaps in vendor, vehicle, driver, and transportation process compliance.
- Support internal, customer, statutory, and regulatory audits and inspections, including preparation of required documents and closure of audit observations.
- Maintain accurate and updated compliance trackers, statutory records, audit reports, vendor compliance records, vehicle documentation, and corrective action reports.
- Coordinate with Operations and vendors to close identified compliance gaps within defined timelines.
- Monitor and track statutory renewals and expiry dates to prevent operational disruption due to non-compliance.
- Support investigation and documentation of transport-related incidents, accidents, safety violations, and employee complaints, and recommend corrective and preventive actions.
- Conduct compliance awareness and safety training for drivers, transport vendors, supervisors, and relevant employees.
- Track changes in applicable transport, labour, safety, and employee mobility regulations and communicate relevant updates to stakeholders.
- Prepare periodic MIS, compliance dashboards, risk reports, audit summaries, and management reports highlighting key compliance risks and closure status.
- Work with customer teams to ensure adherence to client-specific employee transportation SOPs, contractual compliance requirements, and service-level standards.
- Support continuous improvement initiatives to strengthen the organization's Employee Transportation Compliance and Risk Management framework.
- Ensure all compliance activities are supported by appropriate documentation and maintain a high level of accuracy, confidentiality, integrity, and accountability.
Qualifications
- Bachelor's degree in Business Administration, Labour Management, Logistics, Transport Management, Finance, Law, or a related discipline.
- Experience in Employee Transportation, Mobility, Logistics, Transport Operations, Compliance, Audit, Vendor Management, or Risk Management.
- Strong understanding of employee transportation operations and compliance requirements.
- Knowledge of applicable motor vehicle/transport regulations, labour compliance, vehicle documentation, driver compliance, and workplace safety requirements.
- Strong analytical skills with the ability to identify compliance gaps, assess operational risks, and recommend practical corrective actions.
- Good understanding of vendor compliance and contract/customer compliance requirements.
- Strong communication and stakeholder-management skills with the ability to coordinate with operations teams, transport vendors, customers, employees, and regulatory authorities.
- Strong documentation, reporting, and record-management skills.
- Proficiency in MS Excel, PowerPoint, compliance trackers, dashboards, and digital transportation/compliance management systems.
- High attention to detail, integrity, ownership, and ability to manage multiple compliance activities simultaneously.
- Ability to work effectively in a fast-paced, site-based Employee Transportation environment and meet defined timelines.
- Certification in Compliance, Risk Management, Transport Safety, EHS, or related areas will be an added advantage.
